Position Overview

We are seeking a detail-oriented and proactive Purchasing Agent to join our team. The Purchasing Agent will be responsible for issuing project purchase orders, maintaining strong vendor relationships, negotiating payment terms and warranties, and ensuring the accuracy of deliveries and vendor invoices. The ideal candidate will possess excellent negotiation skills, a keen eye for detail, and a commitment to ensuring compliance and efficiency in our procurement processes.

Key Responsibilities

PurchasingIssue and manage purchase orders for various projects, ensuring timely and accurate placement.Track and monitor the status of purchase orders, providing updates as needed.Collaborate with project managers to align purchasing activities with project timelines and budgets.Vendor Relationships and ComplianceDevelop and maintain positive relationships with vendors, fostering effective communication and collaboration.Evaluate and select vendors based on quality, cost, and delivery performance.Ensure that all vendors comply with company policies, legal requirements, and contractual agreements.NegotiationNegotiate vendor payment terms, pricing, and warranty agreements to achieve optimal terms for the organization.Review and analyze vendor contracts and agreements to ensure favorable terms and conditions.Accuracy of Deliveries and InvoicesMonitor and verify the accuracy of deliveries against purchase orders and project requirements.Review vendor invoices for accuracy and ensure they align with purchase orders and delivery receipts.Resolve discrepancies and issues with vendors in a timely manner.Reporting and DocumentationMaintain accurate records of purchase orders, vendor agreements, and other procurement-related documentation.Prepare and present reports on purchasing activities, vendor performance, and budgetary impacts.Continuous ImprovementIdentify opportunities for process improvements in procurement and supply chain management.Stay current with industry trends, market conditions, and best practices to enhance procurement strategies.

Qualifications

Bachelors degree in Business Administration, Supply Chain Management, or a related field (or equivalent work experience).Proven experience as a Purchasing Agent, Procurement Specialist, or similar role.Strong negotiation and communication skills.Proficiency in procurement software and Microsoft Office Suite.Excellent organizational and multitasking abilities.Detail-oriented with a focus on accuracy and compliance.Ability to work effectively both independently and as part of a team.
