Position Summary:Executive Assistant to CEO acts as a conduit to the board of directors and senior management teams, offering hands-on support to the CEO. Reporting directly to the President and CEO, the Executive Assistant delivers executive support. This role involves managing daily activities and providing various complex administrative services in a proactive and detail-oriented way.The ideal candidate is proactive, self-motivated, and ready to take initiative. You must be able to exercise good judgment in various situations, possess strong written and verbal communication skills, and exhibit excellent organizational abilities; all while maintaining a high level of confidentiality.ResponsibilitiesPrimary Responsibilities:Executive Support• Completes a broad variety of administrative tasks for the CEO including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.• Provides a bridge for smooth communication between the CEO and senior leaders, demonstrating leadership to maintain credibility, trust and support with senior management staff.• Works closely and effectively with the CEO to keep well informed of upcoming commitments and responsibilities, following up appropriately.• Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO, some of which may have organizational impact.• Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.• Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.• Assist in preparing general, statistical, and presentation correspondence; proofreading requests, and organize project, documentation and filing needs for the Executive.• Manage documentation and other confidential matters• Provide back-up assistance for administrative team as neededBoard Support and Liaison• Maintains discretion and confidentiality in relationships with all board members• Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.Education and Experience Requirements:• Bachelor's degree required• Minimum 5 years of experience as an executive assistant to C level Executives or similar role.• Experience and interest in internal and external communications• Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.• Strong organizational, time management, and problem-solving skills.• Ability to work independently and collaboratively in a fast-paced environment.• Attention to detail, accuracy, and confidentiality.
