The Director of Special Events is responsible for the management, execution, and strategic planning of The New York Golf Tournament, Boston Pairings for Prevention, and AKF’s national virtual camp. This position is supported by the Manager of Special Events and works in close collaboration with the Senior Director of Special Events and the Director of Peer-to-Peer Fundraising.ESSENTIAL FUNCTIONS:

Fundraising EventsManagement of all logistics relating to the execution of the New York Golf Tournament and Boston Pairings for Prevention, including leading committee meetings and ensuring each event meets its fundraising revenue goal. Additionally supported by the Manager of Special Events, responsibilities include:Lead event fundraising activities to meet or exceed revenue goals, solicitations, sponsor benefit fulfillment, post-event communications, and other duties as assigned.Work closely with the Event Chair to manage the event committee. Facilitate honoree selection and restricted fundraising, as needed. Provide support and guidance to the committee in fundraising and sponsorship solicitation, including prospect identification and individualized follow-up.Oversee all event planning and administrative functions, including development of timeline and planning documents. Prepare internal briefings/updates on event milestones and goals and maintain an up-to-date and accurate database of activity and sponsor details.Manage and coordinate vendors and event-day volunteers and supervise event-day execution, ensuring all deliverables are met within established deadlines and the event is run on time.Manage event budget and ensure accurate invoicing and accounting throughout the event planning and execution process.Oversee event registration and golf tournament details.Coordinate with the Office of Communications and Marketing on all event collateral, branding, website content, and other program elements within established deadlines. Ensure all sponsor benefits are fulfilled in accordance with sponsorship packages.Fully participate in event-day execution and on-site management, serving as the main point of contact for vendors and staff.Maintain positive and professional demeanor during all interactions with attendees, honorees, staff, and volunteers during event execution.Camp ConnectionsOversight management and execution of the national virtual camp, including strategic planning, marketing, and fundraising.Support the Manager of Special Events in the coordination and planning of all camp activities, including participation in monthly virtual camps on Zoom.In collaboration with the Corporate Engagement team and Director of Peer-to-Peer fundraising, solicit sponsors and fundraising support for camp. Manage all benefit fulfillment, participate in prospect research, and provide supporting materials to achieve fundraising goals. This includes fundraising through camper family and parent campaigns.Research, recruitment, and onboarding of new campers and hospital partners.Collaborate with the Office of Communications and Marketing on media, collateral, website, and other program elements to highlight the program activities.Conduct a year-end parent survey to assist with the planning of camp for the following year.Manage all camp expenses and pull monthly reports to ensure all expenses are coded correctly.Administrative and Team SupportThis position supports the Senior Director of Special Events in budget creation and management, as well as strategic planning for all fundraising and camp activities.EDUCATION AND EXPERIENCE:

Bachelor’s Degree or equivalent experience. Must have a minimum of 5-7 years of demonstrated experience and success in event management, including fundraising events and working committees and chairs. Must have demonstrated experience working with caterers, production, A/V vendors, etc. as well as event budget management. Demonstrated success in fundraising and major corporate and foundation gift solicitation, closing gifts of $15,000 or more. Additional demonstrated success in negotiation, cultivation, benefits management and stewardship of contributors, and logistics management of events.Must be highly organized, detail-oriented, and able to handle multiple projects simultaneously. Strong project management abilities, including decision-making and judgment skills and an innate sense of pace and urgency. Be able to anticipate, plan, prioritize, and react to changing needs and situations with professionalism, integrity, and diplomacy. Excellent written, verbal, and interpersonal skills, including a positive disposition and ability to work in a collaborative, team environment while proactively pursuing individual portfolio. Ability to handle confidential matters with a high level of integrity. Interest in or experience in the health and patient-sector environment preferred. Proficiency in MS Office Suite (Excel, Word, Outlook, and PowerPoint) as well as fundraising database software (Raisers Edge, Convio, or similar software). Ability to work some weekends and evenings as required. Some travel is required. Some heavy lifting may be required, up to 30 pounds.AKF offers a hybrid work schedule with employees working in the office 1-4 days per month and telework the rest of the time.
