I. JOB OVERVIEW

Job Description Summary:

The Division of Development and Alumni Relations (DAR) is responsible for leading the George Washington University’s alumni and fundraising efforts. DAR seeks to promote a culture of philanthropy throughout the university community, including alumni, students, parents, faculty, staff, corporations and foundations, and other friends. Our goal is to advance GW’s mission of excellence in education, research, scholarship, and patient care. DAR is responsible for leading the university’s fundraising and alumni engagement efforts.

DAR is seeking a Development Assistant, SEAS Development. The successful candidate will join the School of Engineering and Applied Science Development Team to provide enhanced administrative support to the Assistant Vice President of Development, SEAS Development (AVP) while supporting the entire team.

Reporting to the AVP, this position includes: project management, data entry, prepares pre-and post-travel arrangements including booking reservations & preparing expense reports, produces weekly acknowledgement letters, assists with overseeing logistics for board meetings – including catering and technological assistance.

The incumbent conducts prospect research as requested, maintains and reconciles purchasing cards for departmental, institutional or work unit accounts, and coordinates the schedules and maintains calendar(s) for assigned staff, regularly prioritizing and arranging meetings, conferences and appointments. This position will anticipate and prepares background materials needed, and may liaise with managers to ensure office administration policies, programs, and activities are appropriate for their needs. This role also typically plans, prioritizes, and manages maintenance and space activities and upgrades to equipment, facilities, and systems to minimize disruptions to business activities.

This position is responsible for the hiring, training, and supervision of the office’s summer and temporary staff, and oversees the customer service efforts of the front desk, to include referring constituents and resolving concerns as appropriate.

May serve as the primary point of contact for development related events (dinners, meetings, receptions), including assisting with the planning, execution, and follow up. Works to track activities related to development programs and initiatives.

Key Responsibilities

  • Perform administrative duties and support the School of Engineering and Applied Science development and constituent engagement team by scheduling meetings, preparing materials, and creating electronic correspondences.
  • Manage timely and personalized acknowledgment letters and communications to donors, ensuring accuracy and adherence to university standards while simultaneously collaborating with GW schools, units, and departments to ensure best-of-class and compelling messaging is incorporated.
  • Assist with preparing for special events, biannual council meetings, alumni outreach activities, as well as providing high-level planning and logistical support for cultivation events and offsite programming.
  • Coordinate the production and distribution of donor recognition materials, such as plaques and certificates.
  • Maintain accurate and up-to-date donor records in the university’s CRM database (e.g., Advance).
  • Participate in meetings, workshops, and training sessions as required.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 1.5 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Experience in juggling evolving expectations in a fast-paced environment coupled with the ability to handle confidential information with discretion and professionalism.
  • Excel in communication, relationship-building, and interpersonal skills, fostering collaborations with individuals across the university and external partner network.
  • Is a strategic thinker who can see “the big picture” while not losing sight of the details, in addition to having creative energy and an entrepreneurial spirit.
  • Outstanding project management, organizational, and time management skills with a focus on improving systems while coordinating efforts.
  • Capable of working with a high degree of independence and learning information quickly.
  • Knowledge of Advance or a similar database, such as Raiser’s Edge, Millennium, or Sales Force is desired.
  • Proficiency with Microsoft Office Suite, Google Drive, and other software applications preferred.
  • Excellent customer relations and interpersonal skills, demonstrated experience with graphic design is a plus.
  • Relevant professional experience as an executive assistant is strongly preferred.
  • Ability to work occasional evenings and weekends is desired.

Hiring Range

$21.27 - $27.63
