Lathrop GPM has an immediate opening for a Legal Administrative Assistant. This position will be located in our Minneapolis, MN office.Lathrop GPM is a full-service, Am Law 200 law firm with offices in Boston, Chicago, Dallas, Denver, Kansas City, Los Angeles, Minneapolis, St. Cloud, St. Louis, and Washington, D.C. We offer a competitive compensation and benefits package, and a professional, challenging, yet comfortable hybrid working environment.This position provides legal administrative support to attorneys and the firm to assist in management of client service relationships and the practice of law. Additionally, it offers a unique opportunity to provide support to trainED, an outgrowth of Lathrop GPM’s higher education law practice and a nationally recognized provider of higher education training and compliance services, including compliance reviews and investigations.Responsibilities:

Correspondence:• Prepares correspondence and other documents in a timely and accurate manner.• Anticipates the needs of timekeepers - drafts routine correspondence and documents for review and approval. Anticipates obstacles, repercussions, and stumbling blocks.• Proofreads documents prepared by timekeepers for spelling, punctuation, grammar, consistency, and accuracy. Makes suggestions/corrections as necessary.Client Support:• Provides high level client service in all communications.• Effectively communicates with timekeepers.• Handles all aspects of incoming mail (review, distribute, prioritize, docket/calendar/save to document management system).Client Billing:• Enters time for timekeepers, if requested.• Processes proformas/bills, including proofing and reviewing to ensure accuracy and consistency with Lathrop GPM standards.• Manages the flow of proformas/bills, including following up with timekeepers to review/approve proformas, proofing proforma to determine if entries are on the correct matter, transfer entries to correct matter, open new matters.General Administrative Support:• Reminds timekeepers of upcoming projects, meetings, and due dates.• Gathers, coordinates, and prepares necessary materials/files for meetings, depositions, hearings, travel, etc. providing those materials to timekeepers.• Schedules internal and external meeting rooms and set-up needs.• Coordinates food/beverage needs and agenda/itinerary preparation, if appropriate.trainED Support:• Collaborates with Document Services and Office Services teams to prepare training material. This occurs twice a year and requires attention to detail.• Coordinates logistics for trainED training (conference room setup, coordinating distribution of material, and assisting Business Development team on various administrative tasks).• Prepares trainED conflict checks, new matters and engagement letters; directs follow-up with client regarding matters.• First line triaging client issues.• Manages modular training portals, including preparing engagement letter and invoice for new client, renewal for former clients, identifying expiration dates for contracts and follow up with clients regarding renewal, docketing/tracking various dates.• Updates annual policy charts and training material.Minimum Requirements:

Associate’s Degree or equivalent years’ related experience.Minimum 3 - 5 years’ experience as a Legal Administrative Assistant within a law firm and/or corporate environment.Excellent interpersonal, written, and verbal communication and client service skills.Strong attention to detail and organizational skills.Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).Ability to work independently and in a team environment.Strong problem solving and decision-making skills.Ability to work well under pressure.Interest in continued professional and personal development.Preferred Requirements:
