Athena is looking for an Office Administrator/Office Manager responsible for supporting a broad range of administrative, HR, and operational tasks to ensure smooth and efficient operations within the organization. We’re looking for someone who can be the "glue" at our office — proactive, reliable, and always bringing a positive attitude to help manage all the exciting activities and responsibilities within the office.
Requirements
What you’ll be contributing to:
Administrative Tasks:
Record Keeping: Maintain accurate and up-to-date company records and files
Scheduling: Assist in scheduling and organizing meetings, interviews, training sessions, and visits from external parties
Communication: Handle general office correspondence and communication, ensuring smooth information flow across the organization
Project Support: Assist with HR and operational initiatives and projects, contributing to the overall effectiveness of the team
Office Management:
Supply Management: Monitor and maintain office supply inventory, ensuring adequate stock levels
Event Coordination: Manage the setup, coordination, and scheduling of office events, ensuring successful execution
Facility Management: Coordinate with building management and maintenance teams to address facility-related issues and ensure a well-maintained office environment
IT and Operations Support: Assist with IT inventories, manage mail, and support general office upkeep
Visitor Management: Manage logistics for external visitors, ensuring a seamless and professional experience
Onboarding and Offboarding Support:
Onboarding: Prepare and distribute new hire documentation, schedule orientation sessions, and ensure timely access to resources and systems
Offboarding: Coordinate exit interviews, manage the return of company property, and ensure accurate record updates and completion of offboarding processes
The skills and experience you should bring to this role:
Proficiency in MS Office (Excel, Outlook, Word, PowerPoint)
Proficiency in SharePoint
Excellent time management skills and ability to multi-task and prioritize work
Superior attention to detail
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
Positive-minded, solution-oriented and creative problem-solver
High level of integrity and discretion in handling confidential information
Bachelor’s degree or equivalent experience
