The Board Operations Specialist plays a key role in providing efficient and effective support to the Office of the Secretary. The incumbent works closely with the Board Secretary and the Assistant Board Secretary to support the coordination, facilitation and recording of the activities of the Office of the Secretary. The Board Operations Specialist contributes to projects and programs to improve the work and enhance the mission of the Office of the Secretary. The Board Operations Specialist is a proactive problem solver with exceptional communication skills and meticulous attention to details. This position necessitates a commitment to confidentiality, professionalism, attention to detail and significant latitude of independent judgment and discretion on a routine basis.Essential Duties & Responsibilities:

Responsible for assisting the Secretary to the Board and the Assistant Secretary with the effective operation of the governance and administrative duties of the Board of Directors. This includes all direction, coordination, implementation, and execution related to governance and administrative activities to ensure the completion of work according to established DC Water goals, policies, procedures and Bylaws. This position works in close collaboration with staff across the Authority to fulfil these objectives.Responsible for independently managing, anticipating and addressing department needs; this includes working directly and independently with DC Water staff at all levels.Manages the Board portal and works collaboratively with the Assistant Secretary to maintain adherence to protocols and accuracy of data.Supports preparation of materials for committee meetings, including presentations and distribution of materials.Coordinates and collaborates with internal and external stakeholders to ensure accurate and timely communication of meeting requirements and information.Responsible for updating and uploading meeting minutes, meeting materials, regulations and procedures, resolutions, contracts, and Board and D.C. Water documents in Diligent Board Books and the Board website in compliance with the Open Meetings Act.Utilizes understanding and experience with technology to assist with board and committee meeting logistics and other arrangements.Manages Office of the Secretary vendor payment and billing processes; monitors and tracks the Office of the Secretary budget.Assist with maintaining Office of Secretary owned policies and procedures.Maintains a commission as a D.C. Notary Public, performs responsibilities, and ensures availability.Leads the development and standardization of day-to-day operational systems, participating in detail-level decision-making on the range of department activities.Oversee operations, maintenance, and retrieval of historical and current information from databases that support the Office of the Secretary.In collaboration with internal and external stakeholders coordinates public hearings in support of proposed D.C. Water regulations and procedures and comments from the public prior to Board final approval and implementation.Secures participation of volunteer D.C. Water support staff and provides supervision in support of meetings, workshops, public hearings, town hall meetings, and orientation of new Board members.Manages annual board and committee meeting calendar.Performs other related projects and assignments at the direction of the Secretary to the Board.Supervisory Responsibilities: N/AKey Working Relationships: Interacts with employees throughout the department and with representatives from other organizations.Required Skills & Qualifications

Three (3) years of progressive administrative experience inclusive of providing direct responsibility for ensuring a Board's (or equivalent) business is carried out properly, or equivalent combination of education and experience.Demonstrated project management, board or legal experience in a complex and fast-paced environment preferred.Minimum Education Requirements:

Bachelor's degree in business management or related field; or:Associate's in business management or related field with five (5) years of progressive administrative experience inclusive of providing direct responsibility for ensuring a Board's (or equivalent) business is carried out properly; or:High School Diploma or equivalent with seven (7) years of progressive administrative experience inclusive of providing direct responsibility for ensuring a Board's (or equivalent) business is carried out properly.Required Skills:

Project ManagementDemonstrated understanding and knowledge of board governance and administration desired.Diligent, BoardBooks Software; or other Board portalsRequired Licenses & Certifications:
