Job Description - Senior Practice Assistant, Radiation Oncology (3302728)General Summary/Overview Statement
Under the direction of the Radiation Oncology Practice Director and the Clinical Director of Breast Radiation Oncology Group, the coordinator is an active member of the clinical care team and responsible for triaging incoming referrals in a multi-disciplinary approach. The successful candidate will focus mainly on the following:Supporting the Breast Radiation Oncology program.Procuring medical records: Prior pathology, imaging, Graphic Plans/DICOMs, and relevant reports required for patient care review.Coordinating all appointments as needed for each specialty.Obtaining authorizations for imaging requests and for procedures (e.g., SBRT) as needed.Effectively communicating with the Breast Radiation Oncology Program.Providing appointment information/instruction to patients regarding hospital and department procedures.Arranging interpreters or transport if necessary. Assisting with patient questions and serving as a critical point person, making sure patients’ needs are met.Assisting in the referral process for those patients that seek treatment closer to home.Providing departmental administrative cross coverage when needed.Performing other duties as assigned.DEPARTMENT SPECIFIC QUALIFICATIONS:Knowledge of practice operations and standards.Understanding of procedures including filing, copying, scanning, printing, and faxing.Phone skills: Ability to use phone system (answer and screen calls, put on hold), answer routine questions in a professional, courteous, clear, and concise manner.Organizational skills: Ability to manage work processes in a neat and orderly way and to sort and alphabetize. Ability to manage multiple tasks effectively, follow established protocols, and work within systems.Writing skills: Ability to correspond and communicate with others clearly and effectively in writing (via e-mail, memo, or interoffice note) and to take complete and accurate messages.System Skills: Ability to type and enter data at an entry level. Entry-level understanding of applicable systems.Understanding of the appropriate use and importance of related forms.Basic understanding and use of medical terminology.Basic comprehension of insurance types and referral process.Basic comprehension of registration and fiscal information.Knowledgeable and compliant with all hospital, State, and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPAA.BWH is an Affirmative Action Employer.
