We are constantly innovating and attempting to bring new approaches, solutions and processes to our work.Position ResponsibilitiesProject tasks including but not limited to coordinating meetings, creating agenda, generating and maintaining team task and decision matrices, and drafting and distributing meeting minutes.Accounting tasks including reviewing and tracking invoices and payments, generating and reviewing labor reports and specific analysis, as required.Utilize Deltek-Vision software to create and maintain work plans in Vision with oversight from Project Manager and Project Accountant.Facilitate progress action items during proposals, design, tender and CA phases.Contribute to marketing and proposal tasks including reviewing RFP and RFQ documents, editing project and scope descriptions, assisting with creating work-plans and fee proposals, as well as coordinating with multiple departments and outside consultants to assemble final documents.Draft and create contracts and related agreements with clients and subconsultants.Update, review, maintain, and archive project data (in various mediums including but not limited to Google project drives, Salesforce, OpenAsset, network drives, hard copy project files).Identify, organize and implement project coordination independently in accordance with deadlines.Maintain multiple workflow schedules, both individual and project specific including but not limited to completion of expense reports, timecards and team travel arrangements.Coordinate with project teams to compile detailed project specific reports.Review, organize and distribute submittals and RFI’s during the CA phases.Maintain records of certificates of insurance, internally and externally.Minimum QualificationsBachelor’s degree desirable.Minimum 4 years’ professional work experience in an office environment working with and as part of a team. Prior experience in architecture, engineering or construction is highly desirable.A proven work ethic and the ability to anticipate needs, service clients, initiate decisions and coordinate the activities of others.Exceptional communication skills and writing skills.Strong proofreading skills.Excellent time management skills including ability to track multiple project workflows and associated deadlines.Prior financial, accounting or bookkeeping experience.Attention to detail and ability to review calculations and spreadsheets to ensure accuracy.Strong command of Google Workspace, Microsoft programs, especially Google Docs, Google Sheets, Google Drives, Word, and Excel.Are you ready to join a team of creative professionals working on transformational projects around the world?
