We are seeking a dynamic Office Manager that can put their talents to use in the construction industry.

The Office Manager is responsible for overseeing front office activities, including: processing receiving and outgoing packages, and helping maintain an efficient office environment. The Office Manager is also responsible for daily building facilities operations.

Preferred Candidates will possess the following skills:Strong organizational skillsEnsure the utmost confidentiality in all mattersCoordinate with directors/office leaders for reporting activities and general administrative affairsAttend to communications channels including but not limited to

Greeting public and clients and directing them to the correct staff memberPreparing outgoing mail for distribution to vendorsNotifying vendors and tenants of office closures

Maintain building cleanliness, neatness, and orderliness (lobby, supply room, conference and meeting spaces, and kitchen)—working with cleaning services as neededCoordinate with building maintenance with property owner.Set up courier services, as neededPrepare overnight shipments for other company locationsAssist accountants with management of lien waiversSchedule vendors for repairs, handling tenant complaints, and ordering and distributing key fobs to employees and tenantsManage office supply orders (Staples, Costco, etc.)Update and maintain databases such as phone list, contact list, etc.Review vendor invoices for accuracy against orders receivedManage parking lot and garageOrganize and prepare for meetings, including gathering documents and attending to logistics of meetingsCoordinate travel arrangementsCoordinate, schedule meetings to include external eventsProvides coordination, monitoring and communication of projects and programsComplete all reporting activities accurately and on-time.Determine priority of matters with office leaderResponsible for administrative tasks including printing, mail, email, etc.Prepare, reconcile and submit expense reportsAssist all superintendents with ordering Home Depot cards, vacuums, labor posters, etc.Perform other duties as assignedEducation and Experience Requirements:

High School Diploma or equivalent required; BS/BA from an accredited four-year school preferredOutstanding attention to detailExcellent communications skills, both written and oralProficiency in execution and time managementFamiliarity with MS Office including Outlook, Excel, and PowerPointAbility to manage multiple and competing requestsAbility to maintain strong relationships and an open line of communication with all departments

The estimated annual base salary for this role is $60k-75k.
