At Conference Incorporated, a 38-year-old association management firm, our Event Managers are the architects of unforgettable experiences, going beyond mere event coordination to bring our clients' visions to life. In this role, the Event Manager (EM) delves deep into understanding our clients' needs and aspirations for a diverse array of meetings, conferences, and events. From crafting the initial budget to meticulously coordinating venue research, managing logistical intricacies, including registration and sponsorships, and overseeing every detail from planning meetings to on-site execution, the EM is the driving force behind seamless event experiences. The Event Manager is hands-on, managing volunteers, ensuring flawless execution on-site ending with crafting the very last thank-you note.The ideal candidate is flexible, has a desire to have a career in event management, and possesses strong customer-service skills. Meetings and events range in size from as small as 30 people to 500+ attendees.Candidates must reside within 2 hours of the DC Metro Area (DC, Maryland, and Northern VA).Responsibilities include but are not limited to:Manage client projects for a variety of meetings, conferences, and special events.Develop and track budgets to ensure revenue and expenses are on track and reconcile event bills.Create Function Book – ensuring all logistical details including room set-ups, audio visual, transportation, housing, and food and beverage for meetings are planned effectively.Participate in contract negotiations and evaluations with a variety of hotels and vendors.Participate in the strategic planning process for all meetings and events to ensure continual improvement and quality customer service.Monitor timelines for each event.Provide customer service to clients – building and developing professional relationships.Other duties as necessary to contribute to the overall success of the client and CI.Qualifications:3+ years’ experience in the meeting planning industry – previous experience with an association or membership organization is a plus.3+ years’ experience planning and monitoring budgets for events – must have excellent budgeting skills.Experience with contract negotiations with hotels and vendors.Strong proofreading, oral, and written communication skills.Excellent organizational skills.Comfortable working independently and in a team environment.Must be proficient with Word, Excel, and PowerPoint.Must be available for

LOCAL events (DC, MD & VA)

at least once a month.
