Position Summary

The Extension Office Assistant is a member of the Douglas County Extension team and is a representative of Colorado State University. The office is located at 410 Fairgrounds Road, Castle Rock, CO 80104-2699.

They will work under the supervision of the Extension Director for Douglas County with additional guidance and support from Extension staff. An ideal candidate will be available to work 35-40 hours per week. Prompt and reliable arrive at 8 am to open the office for public use of our services is a primary expectation of the person in this position. The number of hours may fluctuate based on staffing needs. Some evenings and weekends may be necessary but will be requested at least a week in advance. Should additional hours be requested of the incumbent they will be given an option to choose either overtime pay or time off.

The incumbent of the position will be the primary point of contact for visitors to the Douglas County Extension Office, assuring that phone calls and walk ins are answered in a timely and professional manner. This includes communicating office events, updates, and closures on the front door, on outgoing messages, and social media platforms. Daily tasks will also include answering general inquiries about the Colorado Master Gardener programs, 4-H enrollment and project information, and other general resource information via emails and phones. This will also include directing more detailed inquires to the appropriate program staff.

Other duties include, but are not limited to:

Assists Extension staff with clerical and administrative support as needed.

Assists Extension staff with event planning, basement scheduling, and general office functions.

Assist the Extension Director with scheduling, internal event planning, and communications

May assist or lead in the development of promotional materials and program documents.

Uses social media and mass communication for outreach efforts.

Will assist program staff with materials in preparation for programming.

Other customer service or administrative support duties as assigned.

Position Minimum Qualifications

High School Diploma.

Relevant experience assisting with youth development programs, volunteer management, program/project management, and/or working with diverse audiences.

Experience using MS Office Suite, Google docs, Wordpress, and social media.

Strong interpersonal skills and an ability to communicate and accomplish work as an essential part of a team, as demonstrated through application materials and experience.

Strong organizational skills and ability to prioritize.

Ability to solve problems independently and with support.

Preferred Qualifications

Experience with Extension programs.
