The Senior Executive Coordinator (“SEC”), reporting directly to the Chief Executive Officer (“CEO”), will be responsible for managing the day-to-day administrative activities with a high focus on communication/coordination for the CEO.The CEO areas of responsibility are:Product DevelopmentGlobal Brand ManagementGlobal MarketingGibson MediaGlobal Commercial OperationsGlobal OperationsGlobal FinanceGlobal Human ResourcesGlobal Legal AffairsThe SEC will be responsible for assisting the CEO in calendar and meeting management, artist relationship management, and VIP interaction with utmost confidentiality, cross-functional communication, preparation of presentations, internal and external communication pieces, executive meetings, strategic facilitation, as well as participation in projects as necessary and requested by the CEO. This role requires problem solving, multi-tasking, exceptional communication skills, and laser attention to detail and coordination. The SEC will take over multiple tasks that enable the CEO’s efficient use of time critical to the company’s success. This includes in office and out of office activities, including management of family and personal activities. A demonstrated ability to manage and influence at all levels of people successfully is required. Must have experience working in a fast-paced, multi-functional, matrixed, and international team environments – with high expectations of confidentiality and integrity.Essential FunctionsExecutive AdministrationCoordinate and manage CEO’s calendar inclusive of both professional and personal/family activities.Coordinate and manage CEO’s travel, including at times traveling with the CEO and or his family.Proactively coordinate, manage, and schedule activities such internal and external business and personal meetings, including VIP artist engagement in and out of office.Screen, prioritize and direct incoming emails, calls, and other communications; and to provide assistance and solutions to ensure accurate messages and follow-up.Read, research, summarize and route incoming correspondence.Manage and produce expense reports for executives in a timely manner and in compliance with company’s travel & expense policies.Draft letters and documents including presentations related to the Gibson Live, other internal or external presentations and speaking engagements.Organize and maintain business and personal files and records.Team CoordinationSupport the cross functional teams reporting to the CEO.Support Gibson Leadership Team on presentations, executive team meetings, conferences, and/or other events involving multiple cross functional participants.Participate, as requested, in meetings to take notes, summarize action and follow up plans.Other dutiesEstablishing and maintaining strong relationships with GLT and ELT.Maintain strong relationships with artists and other public figures.Coordinate CEO’s personal and family schedules and activities that enable CEO’s prioritization of Gibson business activities.Travel with CEO (and CEO’s family) when necessary.SEC may be required to work some evenings and weekends for various events.Skills and CompetenciesExceptional written/verbal communication skills.Outstanding organizational and follow-up skills.Must be able to manage multiple projects simultaneously, and organize workload to meet organizational timelines in a fast paced, high-growth environment.Solid interpersonal skills with proven ability to develop and maintain effective relationships at all levels of the organization.Ability to handle business and CEO’s personal confidential information sensitively in a highly professional manner.Curious in nature and always looking to question, learn, and look for better ways to do things.Personable, fun, team oriented with a love for music – with guitar appreciation as a plus.Education and Experience6+ years positive history supporting senior executives.Demonstrated history of supporting larger group activities.Experience working in fast paced and externally facing organizations.Experienced/Proficient in Microsoft Word, Power Point, Excel, Photoshop, D365, Teams, and Outlook.Travel RequirementsPeriodic travel to and between the company’s locations.May be asked to travel with CEO both domestically and internationally.Physical DemandsBasic physical stances and actions (sitting, standing, walking) and transfer of guitars.We celebrate diversity and Gibson Brands, Inc is an
