Reporting to the Director of Production, the Production Business Administrator manages the day-to-day business administration tasks of the Production Department for the Office of the Arts (OA). The Production Business Administrator will be responsible for both recurring and project-specific tasks including managing weekly Production staff payroll, onboarding, and processing hiring paperwork for prospective intermittent stagehand candidates. They are also responsible for managing calendars, developing processes for tracking data and venue usage statistics, and generating reports supporting all OA departments. In addition, the Production Business Administrator collaborates with the OA Production Management team to assist with day-to-day operations and ensure the administrative work in the department is managed effectively.

ESSENTIAL JOB DUTIES

Expert user of ABI, the OA event management software, tracking labor hours and rates and responsible for timely and accurate payments to personnel, including full-time staff, student employees, and over 200 intermittent workers.

Maintain ABI employee records for Production Staff and generate reports for payroll and labor-related costs, as needed.

Manage critical departmental calendars across platforms including Google, EMS, and ABI.

Manage the hiring and onboarding process in Workday and ABI for prospective intermittent stagehands and student employees in collaboration with Emerson Human Resources.

Work in coordination with the OA Production Events Department on internal event estimates and settlements.

Create and maintain reporting systems for use by the Office of the Arts General Management and Business Offices that capture statistical data on events and venue usage.

Capture and use data and statistics to help streamline OA Production processes.

Create and maintain budget tracking systems for use by the OA Production department to ensure accurate reporting of expenses relating to productions, general maintenance costs, and capital equipment.

Assist the OA Production Events Department in the management of ZenDesk space reservation software.

Assist the OA Production Department Heads in the creation of a weekly full-time production staff schedule updates and distribution. Be responsible for distribution of the schedule and communicate updates.

Manage and track CBORD Tap Card Access for OA Production full-time, intermittent, and student staff.

Schedule, attend, and take notes in OA Production departmental meetings.

Schedule and coordinate piano tuning and maintenance work across all Office of the Arts venues.

Other duties as assigned.

QUALIFICATIONS

Bachelor’s Degree OR Associates Degree with equivalent experience required

2-4 years of relevant administrative, payroll processing, and employee management system experience

Experience with payroll reconciliation and employee timekeeping software such as ABI

Experience with academic theater facility management

Experience with theatrical producing

Experience with institutional hiring practices and employee management software such as Workday.

Familiarity with business accounting and institutional procurement practices

KNOWLEDGE, SKILLS, AND ABILITIES

Strong Organizational Skills and ability to multitask, prioritize, and manage stressful situations

Strong Interpersonal and Communication Skills, including good listening skills

Strong Computing Skills including experience with the Google Suite and Microsoft Office

Particular emphasis is placed on Spreadsheet development and optimization

Ability to handle confidential matters in a highly professional and service-oriented manner.

Highly resourceful team-player, with the ability to also be extremely effective independently; strong ability to execute work broadly with a diversity, equity, and inclusion lens.

COMPENSATION

The hiring salary range for this position is $21.05 - $25.26 Hourly commensurate with years of relevant experience.
