GridStor is looking for an experienced and self-motivated Executive Assistant to join our growing team. Reporting to the VP of Business Operations, this individual will be responsible for handling a wide range of administrative tasks and providing support to the CEO, CFO and other senior executives. Assignments will vary in scope from basic executive assistant duties to event planning and coordination for board and team meetings.Our ideal candidate is extremely resourceful, has a can-do attitude, and enjoys working within a team setting. This role will be given significant responsibility and be exposed to high-profile transactions within a growing, entrepreneurial business. The successful candidate will be able to work on their own initiative while always demonstrating professionalism and discretion. You will be calm under pressure, an excellent multi-tasker, and extremely reliable with a keen attention to detail.Responsibilities:

Support executives with scheduling, travel, expense reports, planning and logistics for team meetings, etc.

Coordinate travel arrangements including flights, accommodations, itineraries, and meeting space logistics.Help CEO proactively manage schedule, weekly priorities, and time-sensitive actions.

Day-to-day responsibility in the Portland office including:

Coordinate visitor arrivals and greet visitors.Coordinate with HR to schedule interviews with candidates.Manage mail, shipments, and signatures (notary designation is a plus).

Interface with the Board of Directors, investors, and partners as appropriate for scheduling and coordinating meeting logistics. Manage expense reimbursement for board travel, as needed.Assist in the planning and execution of board meetings, team off-sites, happy hours, and other company social activities.Manage internal signature process including facilitating approvals, contract execution and document management.Provide any additional operational and administrative support not outlined here to create a cohesive and optimally functioning office environment.Qualifications & Competencies

Experience:

A minimum of 5 years of relevant work experience, ideally in the energy or financial sectors, though this is not mandatory.Location & Availability:

Must be based in Portland and available to work in the office five days a week, starting at 8:30 AM. Flexibility is required for occasional coordination outside of standard business hours in urgent situations.Organizational Skills:

Exceptional organizational abilities with keen attention to detail. Capable of managing multiple tasks simultaneously in a fast-paced environment and seeing delegated projects through to completion.Adaptability:

Ability to be agile and flexible, readily taking on tasks outside the typical scope of the role as needed.Confidentiality:

Proven ability to handle highly confidential information with utmost discretion.Integrity & Judgment:

Strong track record of excellent judgment and integrity in previous roles.Technical Proficiency:

Demonstrated proficiency in the Microsoft Office suite and Zoom, with experience in troubleshooting technical issues related to these tools.Communication Skills:
