The Doctors Company is seeking a highly dynamic and analytical Executive Assistant to provide comprehensive support to both the President and the Chief Operating Officer. This hybrid position, located in either our East Lansing, MI or Napa, CA offices, requires a proactive and detail-oriented professional who excels in a fast-paced environment.Qualifications:High school graduate required. Bachelor’s degree in business administration or a relevant field preferred.Five (5) + years of experience as an executive assistant or similar position; insurance industry experience preferred, preferably in a dynamic, fast-paced environment.Strong understanding of digital tools and platforms, with the ability to adapt to new technologies quickly.Excellent organizational skills, with an ability to think strategically and analytically.Outstanding communication and interpersonal abilities.Ability to handle sensitive information with the highest degree of integrity and confidentiality.Responsibilities:Executive SupportProactively anticipates the executive's needs through analysis of schedule, key projects, and upcoming events.Managing the President and COO's calendars, scheduling meetings, and making travel arrangements.Ensure the President and COO's calendars are organized and meetings are prioritized, managing any conflicts or changes.Handle incoming and outgoing communication on behalf of the President & COO, including drafting and editing emails and other correspondence, as well as answering phone calls and screening inquiries.Project SupportLeveraging tools and software to streamline tasks and support the President & COO's operations.Prepares and edits presentations, correspondence, documents, organizational charts, and other data using various resources and software applications.Manage project timelines and act as a liaison for the President and COO by following up on pending tasks, coordinating necessary meeting materials, handling logistics, and ensuring effective communication with all parties involved.Relationship Management/ Situational AwarenessProvides superior customer service, as the initial point of contact for the supporting executive.Serves as a conduit between executive internal/external stakeholders demonstrating professionalism, confidentiality, and tact.Maintains comprehensive knowledge of policies, practices, critical initiatives, and other items impacting executives.Technical Knowledge and Professional DevelopmentCompletes any training required to maintain or advance the skills set necessary to achieve professional, department, or company goals.Other Duties as AssignedAssists with a variety of department and company-wide projects including department research, surveys, and department audits.Makes oneself available for any and all duties.Accepts delegated tasks readily and completes them.Salary Range: $64,244 - $88,435Compensation varies based on skills, knowledge, and education.
