Schedule: This full-time position based at the Augustine Institute Florissant, Missouri campus (St. Louis area)

FLSA: Exempt (not eligible for overtime in compliance with state and federal regulations)

Position Overview

The mission of the Augustine Institute is to serve the formation of Catholics for the New Evangelization. Our core values are humility, innovation, collaboration, and excellence. Through our graduate school, media, and parish programs, we intellectually, spiritually, and pastorally equip Catholics to renew the Church and transform the world for Christ.

Working closely with both the President and Executive Leadership Team (ELT), the Executive Director plays a critical role in supporting the President in daily office of the President activities, strategic planning, organizational effectiveness, and facilitating communications (both internal and external). This position requires a proactive individual with exceptional organizational, communication, and problem-solving skills. The ideal candidate will have a strong understanding of organizational dynamics, the ability to build strong relationships, influence others and navigate complex situations with professionalism and discretion.

The Special Assistant to the President will be responsible for

(specific duties listed below are not all-inclusive):

Administrative Support:

Leading the Administrative Assistant to best manage the President’s calendar, arranging appointments, meetings and travel arrangements ensuring the most efficient use of the President’s time.

Implement processes and controls that work to proactively plan the President’s calendar up to 12 months in advance.

Prepare briefing materials and presentations for meetings and public appearances.

Partner with the Administrative Assistant to handle correspondence, including incoming emails and phone calls, with professionalism and confidentiality.

Serve as a primary point of contact between the President and staff, fostering effective communication and collaboration across the apostolate.

Board of Trustees Lead Liaison:

Assist the President in managing Trustee communications and various other activities that support the Board of Trustees in effectively performing their Board duties.

Manage Board meeting agendas including meeting material preparation and distribution.

Responsible for recording and archiving all Board meeting notes.

Manage the annual Board Meeting Planning Calendar.

Manage and maintain all Board of Trustee governing documents such as the Augustine Institute Bylaws, Articles of Incorporation, and Sub-Committee Charters.

Strategic Planning:

Help coordinate (i.e. agendas), facilitate (i.e. attend meetings) and record meeting notes (i.e. key take-aways and to dos) for weekly Executive Leadership Meetings (ELT).

Help coordinate (i.e. agendas), facilitate (i.e. attend meetings) and record meeting notes (i.e. key take-aways and to dos) for weekly Senior Leadership Meetings (SLT).

Assist the President in coordinating and planning ELT strategic planning meetings, at least once per year, resulting in an updated or revised strategic roadmap for the Augustine Institute.

Collaborate with the President on maintaining key organizational principles such as mission, vision, core values and annual goals.

Support the Executive Leadership Team to proactively manage the annual fiscal year budget process (supporting the CFO in coordinating the strategic inputs that will shape the annual plan.)

Augustine Institute Activities Calendar:

Responsible for working cross-functionally with all department heads to develop and maintain an activities calendar that summarizes, on one page, all the monthly concurrent activities, events, content launches being planned across the Augustine Institute.

Assist the President, Chief Operating Officer and Head of Human Resources in planning and managing employee events (such as quarterly all-staff meetings, the annual summer picnic, Christmas parties, feast day celebrations) ensuring strong, regular and consistent communications between employees and the Office of the President and ELT.

Assist the President in facilitating rewards and recognition for employees who go above and beyond to support the Augustine Institute mission (including coordinating the annual President’s Award process.)

Event Coordination:

Assist in the planning and execution of the events hosted by the President, including meetings, retreats, talks, campus visits, media events and community outreach initiatives.

Closely manage all event activities that require direct engagement by the President to ensure they are well coordinated and communicated (e.g., logistics, guest lists, seating arrangements, etc.)

Assist the President, Chief Mission Officer, Chief Operating Officer, and Chief Financial Officer in managing the strategic plan supporting our expanding Events and Conferences line of business.

Assist the President in coordinating his/her participation in external events or activities (e.g., speaking engagements, external board meeting participation, non-Augustine Institute conferences, etc.)

Donor Relationships:

Assist the President in coordinating and planning regular and consistent donor interactions.

Ensure close and consistent communications and coordination between the President, the Chief Advancement Officer and the appropriate donor’s gift officer.

Ensure proactive alignment between all parties on the presentation booklet, ask strategy, etc. ensuring the President is well informed to best support the donor interaction.

Update Salesforce to archive key discussion points between the President and the donor.

Internal Communications:

Develop, implement, and manage internal communication strategies that ensure timely dissemination of important information across the apostolate.

Write, edit, and produce engaging internal communications materials, including newsletters, announcements, intranet content, and promotional materials for internal events.

Ensure all content is clear, concise, and aligned with the apostolate’s mission and branding.

Conduct regular assessments of internal communication effectiveness through surveys, focus groups, and feedback mechanisms.

Analyze data to identify trends and areas for improvement, making recommendations to enhance communication strategies.

Qualifications

Bachelor’s degree is required; an advanced degree in business or related field is preferred.

Minimum of 7 years of experience in a similar role or related field preferably within a Catholic non-profit organization.

Ability to handle sensitive information and matters with the highest level of confidentiality and professionalism.

Exercise sound judgment and discretion in all interactions and communications.

Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.

Strong written and verbal communication skills, with the ability to convey complex information clearly and concisely.

Demonstrated ability to work collaboratively and build relationships with a diverse range of stakeholders.

A proactive and solutions-oriented mindset, with a strong attention to detail.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software tools (e.g., Salesforce, Event Temple, etc.)

Physical Demands

While performing the duties of this job, the employee is regularly required to perform stooping, kneeling, crouching, reaching, standing, walking, lifting, typing and use of office equipment, talking, hearing, seeing, and repetitive motions.

Work Environment

While performing the duties of this job, the employee will typically work in a climate-controlled office setting.

The base compensation range represents the low and high end of the compensation range for this position. Actual compensation will vary and may be above or below the range based on various factors, including but not limited to qualifications, skills, competencies, and experience.
