Our highly prestigious, mid-size Chicago based law firm has an immediate need for a high-performing and experienced Executive Assistant. The EA will provide support to the Chairman of the firm. Provides legal and administrative support to a corporate attorney. Duties include maintaining calendars, scheduling meetings and conference rooms and coordinating with clients and firm staff regarding interoffice and visitor conferences and meetings. Preparing and proofreading documents, maintaining correspondence and document files, billing responsibilities, and maintaining generalized knowledge of corporate law. This position works directly with the Legal Assistants Supervisor. The position requires exceptional computer skills, including proficiency with Microsoft Office.

scott@esquire-recruiting.comRESPONSIBILITIES:Strong Administrative skills requiredProvide support to firm’s ChairmanMaintain calendars for the attorney.Arrange conferences and meetings for interoffice and client meetings, including booking conference rooms, coordinating attendees, and working with Hospitality to provide refreshments.Maintain client files for easy retrieval and coordinate with Records Management for proper organization and maintenance.Assist attorneys with preparation and submission of expense reports for travel and/or daily expenses.Provide accurate client billing information for all applicable purposes.Type, format, proofread, and edit legal documents specific to assignment.Assist attorneys with billing process and, if requested, collections.Prepare and coordinate requests for copy jobs, messenger delivery, special mail handling, accounting, and other office services.Conduct online research to gather or clarify information for attorneys and clients.Maintain professional image and attitude, acting consistently as an ambassador of the firm.Other duties as assigned.REQUIREMENTS:Possess excellent oral and written communication and interpersonal skills.Demonstrate exceptional time-management and organizational skills.Display superior attention to detail and accuracy.Demonstrate ability to juggle and prioritize multiple tasks.Accurately and thoroughly take instruction.Possess expert working knowledge of and technical skills with Windows, Microsoft Suite (Outlook, Word, Excel) and Work10.Knowledge of PowerPoint a plusHigh school diploma or equivalent qualification required.College degree preferred.A minimum of five years of experience as an executive assistant is required.Law firm experience preferred.OTHER SKILLS AND ABILITIES:The following will also be required of the successful candidate:Excellent writing skillsStrong organizational skillsStrong attention to detailGood judgmentStrong interpersonal communication skillsStrong analytical and problem-solving skillsAble to work harmoniously and effectively with othersA self-starter who desires to show ownership and commitment to the jobAble to preserve confidentiality and exercise discretion
