Position Summary:

Consistent with the Christian mission and vision of the YMCA of Middle Tennessee, and in cooperation with other YMCA staff, under the direction of the Associate Executive Director, the Outdoor Events Director provides leadership to the Retreats/Conferences Department. The Outdoor Events Director is directly responsible for all aspects of guest connection and implementing our high standard philosophy of customer service to the YMCA camp, including all retreat marketing, sales and reservations, group/conference/special event programming coordination, and camp guest registration.

Essential Functions:

Model the YMCA core values: Caring, Honesty, Respect and Responsibility; implement character development and the YMCA core values in all programs and all aspects of outdoor center operations.

Model and put into practice behavior that supports inclusion and diversity.

Model and put into practice high standard of excellence in regards to customer service and satisfaction with the goal of developing, facilitating and strengthening relationships.

Supervise on-site seasonal staff, as well as coordinate with the Hospitality and Kitchen directors.

Represent the YMCA and develop relationships with area organizations, community leaders, and businesses.

Oversee all retreats and events marketing, reservations and scheduling, including creation of contracts, catering coordination, and coordinate necessary support with other departments for each event.

Hold weekly staff meetings to review and discuss all work to be completed for each function, create function sheets, assign duties to department staff, and coordinate with other departments, ensuring that every need for each group and guest are met with creativity and enthusiasm.

Oversee and support team with business functions as related to group payments, including account receivables and collections, scheduling, and booking.

Develop, monitor, and manage $1.5M annual budget for the groups and retreats department.

Recruit, hire, and train part-time and full-time staff to ensure department is adequately staffed to support the department's calendar and bookings.

Maintain work schedule at peak times to be visible and available to guests and staff.

Partner with camp marketing lead and Association marketing team to utilize web, paper, newsletters, web pages and e-Blasts to attract day and overnight conferences/retreats and market groups programming.

Constantly evaluate success of program offerings and guest input to create innovative options for group and dining programs.

Set sales objectives for the department and lead team in developing strategies to meet sales objectives.

Maintain Database for Camp Widjiwagan groups and events.

Serve as weekend manager on duty for all summer groups as well as rotating weekend and evening shifts.

Superior supervisory skills and an enthusiastic personality with the ability to inspire and motivate staff, volunteers, and members to create a culture of service within our programs.

Strong interpersonal and communication skills and the ability to relate effectively to diverse groups of people from all social and economic segments of the community.

Must present a professional image and possess conflict resolution skills, and demonstrate sound judgment and initiative.

Must be highly organized with the ability to work under pressure and handle multiple tasks.

Must be able to maintain confidentiality of information.

Proficiency in Microsoft Word, Excel, PowerPoint, and other software programs, as well as the ability to use most office equipment is required.

Ability to work a flexible schedule, including evenings and weekends.

Minimum 21 years of age.

High school diploma or equivalent required; four-year college degree preferred.

Three years experience in a director-level YMCA position or full-time overnight camp/conference center preferred.

Strong ability to manage and develop an operating budget.

Current, valid Tennessee driver license; clean driving record (e.g., no DUI, no more than three violations in a rolling three-year period, etc.), signed driver agreement form.

This position will have on-site housing and signed housing agreement form.

Certifications Required:

Before start of 1st shift: New Hire Orientation training.

Within 30 days of hire: CPR Pro, AED and First Aid.

Within 6 months of hire: Mental Health First Aid Certification.

While performing the duties of this job, the employee may be required to stand; walk on uneven surfaces; sit; handle or feel objects; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch, or crawl; talk or hear; taste or smell. The employee must be able to lift up to 50 pounds. The employee may be exposed to weather conditions prevalent at the time. The noise level is usually minimal to moderate.
