Position Overview:

The Associate Director, Popular Programming oversees the Seattle Symphony’s busy schedule of Pops concerts, Popular Classics concerts, and stand-alone popular presentations with and without orchestra. Reporting to the Vice President of Artistic Planning, this position ensures a distinctive, engaging and financially successful docket of popular programming on the Benaroya Hall stage.

The key responsibilities and duties of the position fall into the following areas:

Popular Programming with Orchestra

Managing and driving the artistic and financial success of the Seattle Symphony’s orchestral Pops series, Popular Classics and stand-alone popular concerts.

Providing oversight of the budgeting process for Popular Programming projects.

Negotiating terms for guest artists and acts, managing booking process from receipt of contract through execution and scheduling payment of all deposits and fees.

Ensuring the successful delivery of Popular programming to keep the Seattle Symphony and Benaroya Hall artistically fresh, innovative, and aligned with their long-term artistic vision.

Non-Orchestral Programming

Identifying and engaging a strong roster of non-orchestral concerts and events to be presented by the Seattle Symphony at Benaroya Hall.

Contributing to the planning and execution of special events and collaborative projects presented by the Seattle Symphony alongside its concerts, and events suitable to Benaroya Hall as a leading public space for art, entertainment and enrichment in downtown Seattle.

Administrative Duties

Ensuring company-wide awareness and preparation of popular programming projects.

Close collaboration with Marketing, Operations and Development departments in project and season planning.

Initiating and managing proforma budgeting process in project evaluation.

Managing booking process from issuing/receipt of contract through execution and scheduling due payments.

Editing and/or proofreading program pages, Encore printed programs, brochures and all marketing materials for projects within the portfolio.

From time to time undertaking special projects aligned with the Artistic Planning department’s other presentations and activities.

Provide administrative oversight of occasional special projects within the Artistic Planning department.

Relationships

Maintaining regular contact with booking agents, artist managers, programming counterparts, content creators, arrangers and artists, through which to explore new programming ideas and opportunities.

Building relationships with other orchestra administrators and presenters.

Advocating for the Seattle Symphony’s presentations in this portfolio in inward and outward-facing contexts.

Participating in production meetings and collaborating with artists, production staff and colleagues.

Qualifications:

Minimum 7-10 years’ administrative experience in professional performing arts production or musical artist management or similar preferred. Experience working for symphony orchestra/s is essential.

This full-time position often tracks with the rehearsal and performance schedule of the orchestra and involves evening and weekend work.

Excellent spoken and written communication skills.

Ability to prioritize and work with grace under pressure to meet deadlines, both individually and as a team player.

Ability to manage multiple projects/tasks at once, and pro-actively problem solve in a fast-paced environment.

Interact with diplomacy, discretion with sensitive information, and professionalism.

Knowledge of and passion for broad musical genres but especially symphonic music, and other performing arts is essential to this position.

Demonstrated background in booking and contracting processes.

Ability to read music preferred.

Proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, etc.).

A valid driver’s license.

Knowledge of ArtsVision software preferred.

Physical Requirements:

The functions of this position are performed primarily in an office environment

Regular activities include frequent sitting, standing, walking, reaching and bending

This position may require occasional pulling, lifting and climbing stairs

Ability to speak, hear and communicate clearly while handling staff inquiries, telephone calls and customer requests

Specific vision abilities require close visual acuity for viewing a computer screen and reading, preparing, entering and/or analyzing data

This position requires repetitive motions of the wrists, hands and fingers for typing at a standard keyboard and regular pinching, picking up and holding pencils and other desk tools

Must have the ability to lift 30 pounds as needed
