Job Summary :PIC Group is seeking an experienced Office Administrator for a contract role at a power plant in La Porte, TX. While power plant experience is not required, we are looking for candidates with prior office administration experience. The Office Administrator will be responsible for maintaining office organization, supporting staff with various administrative tasks, and ensuring the smooth operation of daily activities within the office. This role requires strong organizational skills, attention to detail, and the ability to manage multiple responsibilities in a dynamic environment.

Essential Duties and Responsibilities :• Maintain both digital and physical filing systems to ensure all documents are organized and easily accessible. This includes sorting, organizing, and archiving files as needed to support project teams and office staff.• Manage lunch orders for meetings, events, and staff gatherings, ensuring timely delivery and catering to dietary preferences. Coordinate with vendors to place orders and handle payments.• Schedule and organize meetings, conference calls, and other office events. Ensure that meeting rooms are prepared, and all necessary materials and equipment are available. Distribute meeting invites and confirmations.• Attend meetings to take detailed notes, capturing key discussion points, action items, and decisions. Distribute meeting minutes to participants promptly after each meeting.• Monitor and maintain inventory levels of office supplies, including stationery, cleaning supplies, and coffee. Place orders as needed to ensure the office is well-stocked and operational.• Provide general administrative support to office staff and management, including answering phones, responding to emails, and handling other office-related tasks.

Job Requirements :• Strong ability to manage time effectively, prioritize tasks, and maintain organized records.• Excellent written and verbal communication skills. Ability to interact professionally with all levels of staff and external vendors.• Capability to handle multiple tasks simultaneously while maintaining attention to detail and meeting deadlines.• Proficient in using office software, such as Microsoft Office (Word, Excel, Outlook).

Physical Requirements :• Ability to sit for extended periods, stand, walk, and lift light office supplies.• Occasional bending, lifting, and carrying of items weighing up to 25 pounds.

Education / Experience :• High school diploma or equivalent.• 1+ year of office administrative experience is preferred.
