Responsibilities

The Administrative Associate serves as the primary contact for departmental human resource matters in the Department of Physics. The incumbent is responsible for all activities associated with onboarding new employees, maintaining current appointment data, providing guidance pertaining to international work visas and their corresponding laws/allowances and verifying payroll.

In this role, you will be responsible for:

Initiating and maintaining all appointments for faculty, staff, student assistants, Postdoctoral Associates, and graduate assistants in the Department of Physics.Checking and certifying payroll on a bi-weekly basis.Receiving and reviewing all pay and leave reports submitted by all Physics employees.Entering time worked for OPS staff and leave hours used by Faculty, USPS/A&P staff in the OMNI system.Maintaining and providing employees with current leave balances upon request.Responsible for the work authorization of foreign faculty and staff sponsored by the Department.Requesting and monitoring approval status of Visa and Permanent Resident applications through the Center for Global Engagement.Providing support for the J-1, F-1, and H1 visa applications for faculty, staff, and students.Providing administrative support and communication to the Physics GA and Physics Grants Offices.

Qualifications

High school diploma or equivalent and three years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)

Anticipated Salary Range

The minimum starting salary for the position is $36,250. Anticipated starting salary will be commensurate with experience and qualifications.
