SUMMARYThe Faculty & Academic Affairs Manager reports to the Associate Provost for Academic Affairs Planning & Operations and provides administrative support to the Office of the Provost (10%) and operational support to the Director of Faculty Affairs (50%), Assistant Provost for Faculty Development (20%), and Vice Provost for Academic Affairs (20%). This position is responsible for oversight of assigned project portfolios, which include management of a range of high-visibility faculty affairs processes, faculty development, events, and academic affairs processes, often independently and with minimal supervision.This is a twelve-month, minimum 37.5 hours per week, full-time academic administrative position.

ESSENTIAL JOB FUNCTIONSPROJECT MANAGEMENT

Promote and support faculty-related programs, policies, and procedures.

Oversee the operational and logistical aspects of a range of faculty activities, including colloquia, faculty orientation, faculty learning communities, and other faculty development workshops/events.

Provide project management and operational expertise working closely with multiple individuals across the Institute to ensure that initiatives from faculty searches to New Faculty Orientation to the administration of creative leaves and merit are well-organized and effective.

Support key processes and actions related to faculty, including hiring, merit, creative leave.

Partner with Human Resources to coordinate the recruitment, hiring, onboarding, and training of new faculty.

Assist the Assistant Provost for Faculty Development in scheduling, planning, advertising, and implementing faculty development programming. Maintains records of faculty participation in faculty development and assists in evaluation of faculty development programs.

Assist with the management of new faculty-related initiatives.

Collaborates and communicates with campus partners, ensures appropriate follow-up, and facilitates resolution of pending matters.

Builds relationships across campus, develops and cultivates professional networks and builds community among stakeholders.

File documents appropriate and maintain accurate records.

Manage the online platform for recruitment of academic personnel including updating of training resources.

Coordinate academic program review processes, which requires high-touch coordination of external reviewers and Institute stakeholders as well as the collation of various written documents for each review.

Coordinate the collection and compilation of annual academic student learning assessment reports.

ADMINISTRATIVE SUPPORT TO OFFICE OF THE PROVOST

Oversee logistical requirements for other ad hoc events: venue, scheduling, technology, catering, etc.

Manage Office of the Provost grants including Faculty Development Fund and the student Interdisciplinary Grant. Responsibilities include budget and payment management.

Assist in the day-to-day operations of the Provosts Office, including answering phone calls and greeting visitors.

Provide back-up support for the Executive Assistant.

Assist with the drafting, proofing, and sending correspondence.

Draft and maintain content for the Office of the Provost pages of the website and internal portal.

Perform other duties as assigned.

Excellent writing, editing, and proofreading skills.

Superior knowledge of Microsoft Office especially Word and Excel and Google Suite.

Possess a strong customer-service mentality and attitude.

EXPERIENCE

Bachelors degree preferred or 3-5 years providing administrative and project coordination, planning, and/or management, demonstrating growth in managing increasingly complex and cross functional projects including planning, scheduling, tracking, and budgeting.

Experience in Human Resources (preferred)

Experience in higher education/arts institution environment (preferred)
