We are seeking an Administrative Specialist 1 to join the Director's Office at the Oregon Department of Education. This is a permanent position represented by the Service Employees International Union (SEIU).

This role is a hybrid of remote work and will need to report to the office when business or operational needs are dependent on onsite activities. Remote work is embraced to the fullest extent possible without interfering with business.

What you will do!

ODE's Youth Advisory Council Administrative Specialist is primarily responsible for providing administrative support to the Youth Advisory Council.

Typical duties include:Providing administrative support to the Youth Advisory Council and Council Coordinator. This includes coordinating and scheduling meetings, events, and communications between K-12 students, youth community advocates, state agencies, and internal partners.Serving as the point of contact for inquiries from students, advocates, and partner agencies, ensuring timely and clear communication.Compiling and distributing relevant documents and information; maintaining accurate records of Youth Advisory Group activities, meetings, and communications; ensuring compliance with relevant laws and policies.Please click here to view the full position description

Minimum Qualifications (Need to Have)

Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data; OR

An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data; OR

An equivalent combination of education and experience.

Minimum qualifications must be met to qualify for this position.

Desired Attributes (Nice to Have):

Ability to manage multiple tasks, schedules, and deadlines effectively, particularly in coordinating meetings, activities, and timelines for the youth advisory group.Ability to act as a liaison between different partners, including the council coordinator, youth group members, ODE staff, and state agencies, ensuring clear, accurate, and effective communication.Experience using platforms like Smartsheet, Google Suite, Microsoft, and other tools to develop resources, track progress, and ensure all stakeholders are informed.Ability to work effectively across teams fostering collaborative operations within the program.Ability to provide clerical support to youth advisory members, including scheduling, data collection, and information dissemination.Strong commitment to confidentiality and ability to handle sensitive information with care.Flexibility to manage ongoing program needs and changes, including updating processes and systems as needed for efficient council support.We are most interested in finding the best candidate for the job. Salary Range: The range listed is the Non-PERS salary range. Public Employee Retirement System (PERS) participating members will have their base salary increased by 6.95% and pay a 6% employee contribution to PERS.Your application materials will be used to determine salary based on a pay equity assessment.
