Legal Administrative Assistant

to provide comprehensive administrative support to assigned legal staff in our San Francisco office.

The ideal candidate will be responsible for:Prioritizing assignments and preparing often sensitive and detailed correspondence.Preparing other routine, as well as non-routine, correspondence, legal documents to include standard pleadings and court appearances, forms, presentations and the like.Litigation duties including preparation of witness binders and trial binders, deposition preparation and logistics, receiving electronic filing notifications from courts for cases via Pacer accounts and court ECF accounts, and exhibits for filings.Managing billing process to include time-entry, data review and correction, final submission to meet all Firm-required deadlines, maintenance of billing records, and research of disputes and discrepancies.Scheduling appointments, making travel and/or meeting arrangements, and maintaining business calendars as instructed; responsible for keeping timekeepers on schedule.Effectively establishing and maintaining well-organized files, while managing the integrity of original client documents in various formats.Preparing relevant documentation to be filed with various courts in hardcopy and electronic format; staying abreast of filing requirements as necessary.The successful candidate will demonstrate:A minimum of 3-5 years prior relevant work experience within a Law Firm and/or Professional Services environment, required; prior experience working within a Litigation practice group is required.Knowledge of e-Filing in all court systems; experience using Pacer accounts and court ECF accounts.Advanced use of MS Word; intermediate to advanced level skills using MS Office Suite, in addition to strong computer aptitude to learn other programs (including Adobe, Best Authority, eFiling, DocuSign, PDF Essentials, various ERoom platforms, DropBox, etc.).Proficiency in the use of document management systems (iManage Work preferred).Ability to efficiently read and write in order to proof and edit correspondence, reports and tables for typographical errors, and sentence structure; meticulous attention to detail is essential.Ability to transcribe legal documents, correspondence, and reports from rough draft, dictation, or transcription.Exceptional interpersonal and communication skills; strong multi-tasking and time management skills.Ability to work for more than one person and prioritize assignments appropriately.Pay Range for Candidates in San Francisco:$64,000 - $115,000 per yearThe range provided is the minimum and maximum salary that Venable in good faith believes at the time of this posting that it is willing to pay for the advertised position.
