Position Summary:

The Administrative Specialist II is responsible for customer service, examining and verifying documents to assist with the admissions process, and performing general office duties. This position is governed by state and federal laws and institution policy.

Essential Duties and Responsibilities:

Responsible for preparing and distributing application documents to the processing staff for review.

Responsible for inputting data, ensuring accuracy and consistency.

Maintains student records to ensure accurate and neat data.

Assists prospective students through the admissions process in-person or by communicating through phone or email.

Responsible for customer service, ensuring front desk is covered, phones are answered, and walk-ins are assisted.

Provides information, assistance, and clarification to interested parties concerning institution policies and procedures.

Performs other duties as assigned.

Knowledge, Skills, and Abilities:

Knowledge of record keeping procedures.

Knowledge of work-related subject area.

Knowledge of computers and software applications.

Ability to conduct research and compile data into report form.

Ability to establish and maintain filing systems.

Ability to operate standard office equipment.

Ability to analyze documents to determine compliance with rules, regulations, and procedures.

Ability to communicate both orally and in writing.

Minimum Requirements:

The formal education equivalent of a high school diploma; plus one year of experience in a specialized or related area applicable to work performed.

Preferred Qualifications:

Advanced customer service and data-entry skills required.

Exceptional oral and written communication skills.

Front desk management experience preferred.

Must be able to multi-task in a high traffic environment.

Experience using Microsoft Office Suite.

Work Location, Environment, and Physical Demands:

Office Environment with 15+ full-time employees. Will spend extended periods of time at a computer terminal, answering phone calls, and assisting with office walk-ins. Regular, predictable attendance is required.
