Western National is seeking a Corporate Event Manager to join our team!

The individual in this role will have the opportunity to plan, organize, and execute both external and internal events to support business needs across multiple office locations. The Corporate Event Manager will ensure that all events are professionally executed, align with company goals, and provide a positive experience for all participants.

What are the responsibilities and opportunities of this role?

Independently plans, manages, and executes events of all sizes internally and externally to support business needs across multiple office locations.

Develops and manages event budgets, ensuring cost-effective solutions.

Develops event concepts, themes, and agendas that align with company objectives.

Manages event logistics including venue selection, catering, transportation, and accommodations.

Oversees event invitations, save the dates, and other email/mail communications related to events by working with the Communications Team for design and execution.

Provides onsite leadership at live events by making real-time, independent decisions; directing staff and volunteers; assessing risks; and course-correcting when necessary to ensure the event remains successful, on budget, and aligned with its mission.

Manages the event calendar and works collaboratively with departments across the Group to plan and track events throughout the fiscal year.

Partners with departments across the Group to determine event goals, objectives, and final event logistics.

Tracks expenses and negotiates with vendors to maximize value within budget constraints.

Establishes and maintains relationships with vendors, suppliers, and venues.

Communicates with stakeholders to provide updates and gather feedback.

Utilizes various channels to promote events and ensure high participation rates.

Conducts post-event evaluations to gather feedback and assess event success.

Prepares reports detailing event outcomes and areas for improvement.

Approves expenditures within the established event budget.

Selects and negotiates with vendors and suppliers.

Develops and approves event themes, agendas, and other related items.

Quickly identifies and resolves any issues that arise during the planning and execution of events.

Demonstrates adaptability by adjusting plans and logistics as needed to accommodate changing circumstances and last-minute challenges.

Develops creative solutions to enhance event experiences and meet the diverse needs of participants.

Consistently acts according to our customer experience standards by responding quickly, maintaining a positive attitude, building rapport, demonstrating empathy, managing the customer’s expectations, using the proper communication channel for the situation, and taking ownership to ensure the customer’s issue is resolved.

Performs special projects and other duties as assigned.

What are the must-have qualifications for a candidate?

Three to five years of experience in event planning or coordination, preferably within the insurance or corporate sector.

Strong organizational and multitasking abilities, excellent communication and negotiation skills, and proficiency in event management software.

Exceptional customer service skills with a passion for event coordination and hospitality.

Proficient use of various core systems, office and computer equipment, and software packages.

Bachelor’s degree in event management, hospitality, business administration, or a related field preferred, experience in lieu of degree acceptable.

Compensation overview

The full hiring range for this role is $56,800 - $85,200, annually. However, the base pay offered may vary depending on the job-related knowledge, skills, credentials, and experience of each candidate as well as other factors such as the scope and location of the role. Candidates looking for compensation outside of the posted range are encouraged to apply and will be considered based on their individual qualifications and/or may be considered for other positions.
