Summary: The Project Coordinator is a key role in our company. The Project Coordinator plans, organizes, leads and controls the life cycle of each Project to deliver on-time, on-budget and in compliance with quality standards. The Project Coordinator drives the Pre-Sale and Post-Sale process to best serve the customer’s needs. The Project Coordinator is the liaison between the client, sales staff and production staff working to ensure customers’ projects are designed, estimated, fabricated and installed according to the customer’s expectations. CAN YOU DO THESE TASKS: Organizes and leads Pre-Sale and Post-Sale Project Support Teams using the PM Module (for complex projects), meeting minutes, milestones and accountability to direct the project to successful conclusion, on-time and on budget. The Project Coordinator will manage the Installation Phase of large and or complex projects by meeting with customer representatives and vendors in-the-field to ensure the project meets the schedule, budget and expected quality standards. Interacts daily (both verbally and in writing) with personnel at all levels on a variety of project management issues to ensure timely turnaround of projects. Participates in daily production meetings to ensure on-time delivery and communicate changes, etc. with the production staff. Monitors and tracks the status of all projects handled by the Sales Executive(s) through the KeyedIn internal software system. Consults with the Sales Executive(s), Client, Design and Estimating to facilitate the Pre-Sale process. Prepares and sends project proposal(s) to the Sales Executive(s)/client. Assembles client packages when needed. Ensures all required documents are received from the Sales Executive(s) once a project is sold. Facilitates logistical information and acts as the liaison between the sales staff, client and production staff. Coordinates: permitting, stamped engineered drawings, surveys, staking of locations, site visits, dig safe, wire covering, backhoe, concrete, masonry, final connections, subcontractors and vendors as needed. Writes all work order(s) and initiates Technical Review process prior to processing the order for production. Processes all Work Orders for Work Release after the final Technical Review sign-off(s) are received. Communicates closely with the Operations Manager and the Scheduler throughout the production phase. Approves all fabricated signage for the Sales Executive(s) to ensure product meets quality standards when product is ready, before it is wrapped and loaded (before 4pm). Coordinates with the Sales Executive/client to schedule installation or service dates. Notifies Production Manager and the Scheduler, when changes occur to ensure clear communication on all project delivery expectations. Monitors progress in the field when installation is occurring to ensure customer satisfaction and documents are updated and uploaded in the CRM file of KeyedIn. Assists with invoicing as needed. Composes routine correspondences. PAY: $22-$26 an hour based on experience. BENEFITS: Full benefits package including, medical, dental, vision, 401K, PTO, Holiday pay, Vacation pay.
