We offer competitive compensation and an excellent benefits package.Position Summary:The Events Specialist is responsible for coordinating all aspects of client events in the Boston office while maintaining the highest standards of client service and event execution. The specialist will assist with internal events as needed and will also coordinate firm-wide events with minimal supervision. The events specialist will work closely with the northeast regional team and the firm-wide events team, while working collaboratively with, and as an integral part of, the global marketing and business development team.Duties and ResponsibilitiesPlans, implements and executes all aspects of marketing and business development events (webinar, in person and hybrid events)Identifies and negotiates sponsorship opportunities, securing strategic benefits and favorable contract terms; delivers on contract obligations (speakers, signage, materials, giveaways, etc.)Liaises with co-managing shareholders, attorneys, clients, vendors and professional staffDevelops event strategy and identifies event goals in coordination with attorneys and office leadershipHelps develop event messaging including invitations and follow-up communicationsIdentifies, negotiates with and secures venues and other vendors. Secures cost-sensitive pricingTracks and maintains event budgetsAdds events to event calendarDrafts event write-ups for social media and internal newsletterDrafts invitations and event collateral with our creative services teamUses event management software to distribute invitations, track RSVPs, and effectively communicate RSVP response to lead attorneys on a consistent basisInteracts with firm clients when handling responses, greeting or developing a program (i.e. clients who are speakers or co-sponsors)Coordinates with HR, recruiting, and other departments to assist with internal events as neededStaffs events; schedules, supervises and trains additional on-site events staffTracks inventory for promotional itemsAssists attorneys with client dinners in the Boston area and in other locations as needed in regard to selecting appropriate venue, booking the space and picking a menuProvides excellent client services to internal and external clientsAssists with other projects as neededCollaborates with marketing and other business professionals throughout the firm across functions and teamsA self-starter and team player, able to accept direction, yet work independentlyExcellent prioritization and time management skillsOutstanding interpersonal and communication skills, both written and oralFlexibility and adaptability in a fast-paced work environmentStrong client-first work ethicRemains calm in the face of pressureAbility to effectively interface with all levels of personnel within the organization and with external clientsAbility to learn quickly and critical thinking skills are essentialTech-savvy and ability to learn new programs or systems with easeQualifications & Prior ExperienceMinimum 4-5 years of hands-on events planningExperience in a law firm or other professional services environment preferredStrong computer skills with proficiency in Word, Excel and PowerPoint, Event Management software such as Concep, and ability to learn new programsFamiliarity with webinar platforms (Zoom, GoTo, etc.)
