The Johns Hopkins School of Medicine (JHUSOM) is seeking an

Associate Director Admissions

who will be responsible for critical components of managing the staff and application process to meet or exceed new medical student enrollment targets. Reporting to the Director of SOM Admissions, the position will be working as part of a dynamic team of professionals dedicated to the recruitment, evaluation, selection, and enrollment of a diverse and exceptionally talented group of future physicians. The Associate Director will help coordinate, communicate, and integrate admissions operations and strategies to help refine and enhance the goals and objectives of the Johns Hopkins School of Medicine.The mission of the Johns Hopkins University School of Medicine Enrollment Management organization is to recruit and enroll an outstanding community of diverse students who are committed to excellence and leadership in patient care, education, and research.The Associate Director is expected to support and implement critical elements of a data-informed admissions environment committed to regular and recurring refinements of admissions processes while supervising the Admissions staff. In addition, the Associate Director acts as second in command responsible for the Admissions office in the absence of the Director.Specific Duties & Responsibilities

General Operations of the SOM's MD Admissions ProcessesAssists in the development of Admissions' goals and objectives and associated policies, methods, and criteria to achieve them. Collaborates with colleagues in Financial Aid to ensure alignment with strategies and approaches.Assists significantly with the file evaluation and interviews of applicants for admission. Participates during admissions committee meetings to discuss applicant candidacy.Utilizes appropriate technologies to execute all aspects of the process including targeted communication with applicants, planning and hosting of interviews and other events, communication of decision letters, and other targeted e-mail and text messages.Supports the Director in the provisioning of detailed admissions data and reports for the dean's office and other administrators.Working with the Office of Institutional Technology (OIT), assists with the admissions office's annual cycle prep, data management planning, and execution of key activities in the process utilizing various admissions and CRM platforms. Interacts with appropriate staff regarding technical issues.Helps to ensure admissions activities are compliant with federal and state regulations, accreditation standards, and national best practices.Recruitment FunctionsAssists with the presentation of the JHUSOM MD program to attract domestic and international prospective students at virtual, on-campus, and off-campus events, including but not limited to, open house programs, information sessions, MD graduate & professional fairs, and one-on-one meetings/interviews.Supports efforts to ensure the JHUSOM is building and nurturing relationships with diverse and inclusive educational partners to build a diverse pipeline of prospective students.Communicates regularly with prospective students via a variety of modes and modalities, maintaining connections and responding to questions and inquiries.Assists significantly with the development and implementation of all yield events.Works closely with the Director to manage the admissions decision release process.Helps to plan, coordinate, and lead event programming efforts for the admitted student Second Look Weekends (SLW), responsible for much of the various logistics and execution of a successful event.Serves actively on the SLW committee comprised of current students and JHM staff. Helps to ensure the committee stays within set SLW budget.Marketing Communications PlanningServes as the key point for Slate functions, tools, and operations. Works closely with the Director and Sr. Data Analyst to address any potential questions, issues, or enhancements.Serves as central "hub" for all MD-MD/PhD programs student communications programs. Coordinates content and tracks effectiveness of multi-channel communications (email, social media, web-based platforms) to incoming students. Responds to a portion of prospective student inquiries.Manages the Slate Customer Relationship Management (CRM) system and related activities: builds marketing lists, creates/sends campaigns, executes A/B tests and personalized communications strategies. Supports Director and JHUSOM student communications plan and coordinates with key stakeholders on relevant communications.Manages year-round content updates and annual cycle/prep. Supports ongoing buildout of Slate, implements updates on any new features and resources. Partners with M&C to integrate personalization features and data tools.Tracks and reports student usage to the broader team and identifies opportunity areas for future development.Serves as primary point-of-contact with internal & external subject matter experts to coordinate content creation and delivery for all Slate-related functionalities and events.Assists with the planning and execution of all communication and outreach needs for live events, including requesting space, managing RSVPs and attendance tracking, distributing student feedback surveys, livestream or classroom tech support, video recordings and post-edit needs. Serves as on-site liaison for external presenters.Executes design projects for the department, such as graphics-based emails, infographics, presentation slides, event collateral, MD recruiting guides, and worksheets. Maintains close working relationship with JHUSOM Marketing and Communications (M&C) department to assure adherence to current brand and design standards.Supports the Enrollment Senior Team on building and executing annual surveys, helps analyze results and present key findings to all staff. Works closely with the Director and M&C on insights-based year-end review of communications events and supports strategic planning process with a critical eye towards ongoing improvement and innovation.Works closely with colleagues to help build and creatively execute social media specific programming to support Johns Hopkins Medicine, School of Medicine, and student programming.Plans and implements innovative and contemporary outreach for Pre-health advisors and other key audiences regarding topics and areas of interest.Data Collection, Reporting, and AnalysisServes as a key point of contact for the data and functions in Slate, being on point to address any potential questions, issues, or enhancements.Works with the Director of Admissions and Sr. Data Analyst to help build and maintain detailed and accurate reports and/or queries to foster and facilitate efficient operations while communicating timely updates to the Director and other leaders at SOM.Partners with Director of Admissions to prepare and present applicant data for presentation at admissions committee meetings and to internal/external stakeholders.Supports the organization and categorization of historical data, international/regional/national trends, and AAMC enrollment data to determine effective recruitment strategies.Utilizes AAMC and campus admission/enrollment reporting tools to collect and analyze admissions statistics throughout the admissions cycle.Assists with the data collection and analysis of admissions recruitment, evaluation, and yield strategies.Assists in the development and assessment of criteria for the appropriate evaluation of candidates for admission.Team Operations and Personnel ManagementDirectly supervises the academic services specialist and other admissions staff who manage and track the admissions applications through the various stages of the process.Provides leadership, guidance, and fosters an inclusive team dynamic within the Office of Admissions.Serves as a primary contributor to internal operations calendars, deadlines, and tasks.Supports the Director of Admissions in efforts to recruit, manage, and train professional staff and student volunteers and any paid student assistants regarding recruitment initiatives and programs.Assists with general professional development activities for the Admissions Office.Special Knowledge, Skills, & Abilities

Active and current knowledge of applicant life-cycle data strategies and marketing recruitment best practices for admissions recruitment, especially in medical education.Demonstrates commitment to and advocates for diversity, inclusion, and representation within a holistic admissions environment. Proven ability to implement strategies for the recruitment of a diverse student population in a higher education environment.Ability to work well under pressure, meet competing time frames, and prioritize work.Skills in interpersonal relations, relationship-building, analytics, and problem-solving. Must be able to recruit in a highly competitive market.Ability to work independently, and exercise independent and professional judgment.Working knowledge of how data is used to manage the prospective student funnel from inquiry through matriculated students.Some knowledge of marketing principles, best practices, and techniques relevant to student recruitment and admissions.Effective communication and presentation skills, both oral and written, with diverse and international populations.Skills and experience to independently and accurately counsel prospective students to provide smooth transitions from inquiry to enrollment.Experience with AMCAS WebAdMIT application platform, student information systems (SIS/Ellucian) and client relationship management (CRM), and admissions software systems (Slate), SAP, and Concur.Strong proficiency with multiple software and workplace collaboration products, including Microsoft Office (Excel, Word, Outlook, SharePoint, Teams, and PowerPoint), and Zoom.Ability to be flexible throughout the year to perform other duties as assigned for the successful functioning of the Admissions Office.Minimum Qualifications

Bachelor's Degree.Five years progressively responsible related experience.Additional education may substitute for experience to the extent permitted by the JHU equivalency formula.Preferred Qualifications
