Director of Operations, Executive DirectorNATURE AND SCOPE OF POSITIONThe Site Manager assumes the responsibility and accountability for maintaining the security and safety of Magnolia clients, staff, and property in accordance with the Mission, Vision, and Core Values of Magnolia Community Services, Inc. The Site Manager is the primary point of contact for all internal and external contact and support. All Site Managers report to the Executive Director.PRIMARY QUALIFICATIONSEducation:High School diploma or GED, required.Work Experience:A minimum of two years of relevant work experience.Previous experience with developmentally disabled adults, preferred.Certification or License:Current Automotive Insurance Coverage, required.Current CPR certification.Special Skills:Professional experience in the field of customer service, preferred.Knowledge of general healthcare staffing requirements, preferred.Strong communication and interpersonal skills.Ability to exude confidence and positive attitude in stressful situations.Excellent time-management and organizational skills.Team player, adaptable in different situations, possesses excellent client interaction skills, able to multitask and work independently.Experience using telephones with multiple lines, multi-task on several calls, and maintain professionalism and patience with a fast-paced environment.Excellent problem-solving abilities.Ability to read and interpret documents such as safety rules, operation and maintenance instructions, and procedure manuals.Ability to read and write routine reports and correspondence.Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.Other Considerations:Must be 21 years of age or older.Valid, unencumbered Louisiana Driver’s License.Acceptable Driver’s Motor Vehicle Record required.Ability to pass pre-employment background check.Ability to pass pre-employment drug screening.Available to travel to other business locations and off-site locations infrequently.Maintains a professional appearance.JOB FUNCTIONSEssential Duties and Responsibilities:Ensures communication of essential information to appropriate MCS administrators and staff and conveys such to the incoming Site Manager.Completes required reports and documentation.Ensures the Site Manager’s office maintains daily up-to-date information on clients and staff (Residential and Vocational), vehicles, and facilities.Monitors camera system and appropriately addresses issues and concerns; notifies relevant MCS administration immediately upon camera system outages.Informs the Executive Director and/or appropriate program director and/or case manager of unusual occurrences and important incidents concerning clients, staff, facilities, and property.Oversees coordination of Magnolia vehicles for off-campus activities.Assists staff in behavior management of clients in all programs.Fields calls from various phone lines and routes appropriately; follows up as needed.Ensures campus and community home safety and responds to emergencies.Contacts appropriate repair service if an emergency occurs and notifies Facilities Manager.Ensures that proper forms are in all vehicles.Maintains keys for all facilities and campus vehicles.Accepts and documents the safekeeping of credit cards, cash, and other valuables in the safe.Makes routine checks of campus facilities and gates. Locks and unlocks gates at appropriate times of the day.Contacts 911 police or fire department in case of fire or presence of unauthorized persons or serious illness or disruptive behavior of clients. Assists with hurricane evacuation and other natural and/or man-made disasters.Permits authorized persons to enter property and maintains sign-in and sign-out logs of all visitors. As the primary point of contact for all appointments/entries whether visitors, contractors, client family etc., the site manager notifies appropriate staff person when the visitor proceeds to his/her office. All bags and property transferred into and out of campus may be inspected at any time. Magnolia vehicles and other authorized vehicles may also be subject to search/inspection.Maintains electronic client census log and EVV system as needed.Regulates vehicle and pedestrian traffic at the facility for a smooth flow for drop off/pick-up of clients. Enforces speed limits of 5 miles or less on campus and enforces safety procedures for pedestrians/clients.Follows the master staffing schedule, making adjustments as needed.Communicates continuously with the residential program manager to ensure coordination of information and maintain accuracy of schedule.Updates scheduling software with continual revisions, as necessary.Follows LDH regulations and MCS policy regarding numbers and assignment of staff.Respects the confidentiality and dignity of employees’ personal information to which he/she may be privy.Treat every client and DSP on our team with the dignity and respect they deserve.Completes all mandatory In-Service Training.
