Summary:Reporting to the Senior Director of Stewardship, the Associate Director of Stewardship will implement, maintain and enhance stewardship programs that are designed to engage donors in Rush’s mission and vision, inform them about Rush initiatives, campaign progress, and accept, acknowledge, recognize, and report on gifts.

This program includes a range of tactics, such as general and donor specific reports, print and electronic communications, recognition signage, and personal interactions with leadership. The Associate Director will collaborate regularly with other members of the donor engagement section, including members of the Major, Principal Gifts, Trustee giving, Planned Giving, Events, Alumni Relations, and Development Operations teams.

Required Knowledge, Skills and Abilities:

Baccalaureate degree

At least five years of experience in philanthropy, communications, marketing, program development or volunteer engagement

Excellent written and oral communications skills

Professional demeanor

High proficiency in Microsoft Office (Word, Excel, and PowerPoint); familiarity with donor databases, Web content management tools and Web-based email communication tools is also important.

Ability to think strategically about audiences and plan stewardship activities to meet needs

Ability to conceive and manage projects from inception to delivery, including tracking and reporting on progress and results

Ability to engage others in an initiative and facilitate their input, moving the project forward to conclusion

Ability to work well in a highly collaborative environment and problem-solve effectively with colleagues across the department of philanthropy and the RUSH system.

Excellent grammar and editing skills

Ability to articulate Rush’s mission and the campaign vision to a variety of constituencies with poise and diplomacy

Preferred Job Qualifications:A minimum of two years stewardship experience.

Responsibilities:

Recognition across the RUSH system.

Draft and track all requests for gift agreements, letters of intent and letters of direction for office of philanthropy colleagues; maintain gift agreement intake form; submit signed agreements to Legal via Agiloft system.

Work closely with the Office of Student Financial Aid to monitor the scholarship awarding process and ensure funds are being awarded per donor intent. Provide regular scholarship spending reports to the deans and provost of Rush University.

Act as the Office of Philanthropy’s primary liaison to the Office of Student Financial Aid and oversee and execute the scholarship reporting process. Collaborate closely with Strategic Communication and Individual Giving colleagues to ensure timely and impactful distribution of scholarship updates to donors; ensures compliance with FERPA requirements, while also serving as a conduit for student-to-donor meetings when appropriate.

Work closely with the Department of Fund Accounting to monitor fund spending and ensure funds are being used per donor intent.

Implement and maintain all campaign recognition through public donor signage across the RUSH system; maintain public donor recognition standards in post-campaign environment; maintain and update Gift Map site and train colleagues.

Manage endowed faculty position stewardship program, including collection, editing and distribution of annual reports in partnership with Strategic Communications; drafting faculty appointment bios, donor notification letters and bi-annual Rush University News announcements; annual investiture ceremonies, endowed faculty position wall updates; maintain accurate and detailed information for all endowed faculty positions, including preparing materials for quarterly review of vacant endowed positions.

In collaboration with gift officers and Communications team; maintain tracking of planned stewardship reports and proactively prompt gift officers to complete stewardship deliverables on, or ahead of due dates.

Write custom donor communications, template letters and other communications as needed, including Board of Directors resolutions; collaborate with Governance Office colleagues to ensure all governance-related matters regarding resolutions are executed smoothly.

Implement special projects as needed.

Contribute to goal setting and the evaluation of effectiveness of various stewardship activities.
