The Assistant to Vice President for Student Affairs reports to the Chief of Staff & Executive Director for Student Affairs Administration & Finance (CoS) and serves as an assistant to the Vice President for Student Affairs (VPSA). This role provides administrative support and special event assistance to the VPSA as well as other professional staff in the Student Affairs division office. This role supports division fiscal management, administrative efficiencies, and special events/projects.

This position collaborates in a cross-divisional and cross-institutional approach to support the VPSA, CoS, and in the execution of special projects to advance the mission of student affairs at Austin Peay State University, administering the services, functions, and activities related to the division office. The assistant will serve with a student-centered approach, seek continuous and integrated improvements on all such matters, collaborating with campus partners to achieve goals, and engage efforts with diplomacy and resolution-seeking.

Austin Peay State University is a four-year public, doctoral-level university, with six colleges and four Chairs of Excellence. The University has an enrollment of over 9,000 students and is located in Clarksville, Tennessee, a community of an estimated 166,000 people located approximately 40 miles northwest of Nashville, TN.

Primary Duties and Responsibilities

Provide primary administrative support for the VPSA as well as other professional office staff as designated, including calendar management and transaction reconciliation.

Work closely with the CoS to maintain the efficient functions of the division office.

Monitor and reconcile division office budget expenditures; assist in the preparation and distribution of budget documents.

Make travel arrangements; prepare and process travel authorizations/claims, etc.

Coordinate and prepare divisional meeting materials as designated; including the preparation of agendas, minutes, presentations, and additional items as needed.

Coordinate daily activities with other staff in the Student Affairs central office.

Prepare correspondence, reports, and other University documents.

Lead the design, planning, and implementation of division office special projects.

Oversee and monitor the activities, resources, and metrics of the assigned projects ensuring successful and coordinated completion.

Keep the VPSA and CoS updated and informed on the status of individual projects and make recommendations regarding necessary project scope changes and problem-solve as issues arise.

Monitor and manage cost and quality controls in all project activities.

Maintain open communications with the VPSA and CoS to share information and engage in issue-spotting and creative problem-solving to benefit the division and University community.

Assist in greeting office visitors, directing inquiries as appropriate, answering telephones and assuring requests for assistance are handled in a timely and professional manner.

Establish, foster and maintain successful relationships with others.

Coordinate timely and accurate preparation of reports.

Participate in related professional organizations for continuing development.

Perform other related duties as assigned.

Knowledge, Skills, and Abilities

Ability to efficiently operate a personal computer and associated software (Outlook, Word, Excel, etc.) and SungardHE Banner.

Ability to communicate effectively and appropriately.

Ability to maintain confidentiality of records and information.

Ability to interact in an effective and appropriate manner with diverse populations, the University community, and the public.

Ability to detect and correct grammatical and spelling errors in written correspondence.

Ability to maintain files accurately, in paper and in software programs.

Ability to handle multiple tasks simultaneously.

Ability to determine daily priorities for assignments, projects, meetings, and appointments.

Ability to accomplish job-related tasks without direct supervision.

Ability to work some evening and weekend hours.

Physical Requirements

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

Required Minimum Qualifications

Bachelors’ degree;

A minimum of two (2) years of related experience as a full-time professional assistant or project coordinator.

Knowledge of best practices with providing administrative support, leading special projects, and event coordination.

Efficiency with Microsoft Office Suite such as Outlook, Word, PowerPoint, and Excel.

Skills that exemplify collaboration, communication, action, and advocacy.

Advanced oral and written communication skills.

Ability to administer multiple deadlines and tasks.

Demonstrated ability to analyze and assess data.

Preferred Skills and Qualifications:

Bachelors’ degree, and at least four (4) years of related experience as a full-time professional assistant or project coordinator.

Experience with leading special events and projects.
