Job Summary:

The Office Manager is responsible for ensuring that the office operates smoothly and efficiently. This role involves overseeing office staff, managing office supplies, handling communication, and maintaining a productive office environment. The ideal candidate will have strong organizational skills, excellent communication abilities, and a proactive approach to office management.

Responsibilities:

Answer telephone calls and emails from customers and clients, directing them to relevant staff.

Monitor office supplies and order new stationery, furniture, appliances, and electronics as required.

Organize maintenance companies to keep the office clean and safe, ensuring appliances are in good working order.

Report office progress to senior management and work with them to improve office operations and procedures.

Oversee and support all administrative duties, ensuring smooth office operations.

Have basic IT setup experience.

Set up new hire desks (Desk, laptop, welcome packet).

Manage office supplies inventory and place orders as necessary.

Perform receptionist duties: greet visitors, provide tours, and refreshments.

Manage office layout, furniture setup, and assembling.

Receive and sort incoming mail and deliveries, manage outgoing mail.

Develop and implement office policies and procedures.

Assist with office layout planning, office moves, and IT infrastructure maintenance.

Identify opportunities for process and office management improvements and design new systems.

Manage travel reimbursement and coordinate travel arrangements for employees.

Set up conference rooms for meetings and special events.

Communicate with property managers and vendors for office needs and manage contracts.

Aid employees with in-office and off-site activities.

Provide administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.

Qualifications:

Previous experience as office manager preferred.

Excellent communication skills, both verbal and written.

Strong phone etiquette with the ability to actively listen and empathize with customers.

Bilingual proficiency in English and Spanish is a plus.

Ability to multitask and prioritize tasks effectively.

Proficient in data entry and computer skills.

Positive attitude with a strong commitment to providing exceptional customer service.

We offer a comprehensive benefits package that includes:

Five (5) days of prorated paid vacation per year for the first two years of employment.

Ten (10) days of paid vacation per year after completing two years of employment.
