Job Description - Administrative Manager DoM Women's Health (3304751)The Brigham and Women’s Hospital (BWH) Department of Medicine (DOM) is a Harvard Medical School (HMS)-affiliated academic department comprised of 22 divisions, >1,400 faculty, ~$250 million in annual professional clinical revenue, >350 residents and fellows, and ~$445 million in annual research expenditures. The DOM is the largest academic department at BWH and among the largest in the country.The Division of Women’s Health (DWH) develops and promotes novel initiatives in clinical care, research, and education that advance women’s health and the understandings of sex- and gender-informed differences in health and disease. The division works with department chairs and faculty in other Brigham and Women’s Hospital centers of excellence to advance the institution’s mission and priorities. The division also provides oversight to the Gretchen S. and Edward A. Fish Center for Women’s Health (Fish Center), a multidisciplinary clinical care site where faculty from 16 different specialties provide gender-informed specialty care.The DWH Administrative Manager is an administrative leader who oversees the day-to-day operations, logistics of DWH’s faculty & staff affairs, and Medical Education initiatives. This includes faculty services and faculty & staff development needs. The Administrative Manager also serves as DWH’s primary administrative liaison to BWH Human Resources, Faculty Services Offices, and other relevant offices. The Administrative Manager may also manage other administrative areas of DWH as needed.The Administrative Manager reports to and provides essential counsel to the Division of Women’s Health’s Administrator and works closely with the Division Chief.PRINCIPAL DUTIES AND RESPONSIBILITIESLeadershipWorks with divisional leadership to establish and achieve long-range goals and ensures the implementation of strategic business plans aligned with the vision, strategic plans, and goals of the DWH, DOM, and the hospital. Facilitates cohesive and collaborative relationships among faculty and staff. Develops effective communication methods regarding HR and faculty issues. Continuously assesses and improves efficiency within each area of purview. Develops and launches new strategic initiatives and serves as the administrative project leader. Maintains knowledge of the changing academic health care environment. Monitors and evaluates educational and faculty services and ensures program development.Faculty AffairsFaculty ServicesManages day-to-day operational aspects of faculty service needs and serves as the key point of contact for administrative issues. Assists with policy establishment and ensures compliance with HMS requirements. Oversees faculty on-boarding and off-boarding processes. Advises on individual faculty services items. Assists with recruitment activities and conducts orientation for new providers.Human ResourcesRecruits, retains, and develops administrative staff. Creates a supportive working environment for professional growth. Serves as the primary resource for HR policy issues. Facilitates conflict resolution among stakeholders. Develops and monitors compliance with policies mandated by regulatory entities.Medical Education InitiativesWorks closely with faculty leadership to plan and coordinate Women’s Health educational initiatives. Responsible for compliance and accreditation of course offerings.OtherDevelops high-quality written communications. Leads or participates in special projects and serves on committees as requested. Meets all deadlines for deliverables.QUALIFICATIONSBachelor’s degree required. Minimum of three years administrative and supervisory experience in an academic setting. Faculty & staff affairs experience required, preferably in a medical center environment. Project management experience preferred.SKILLS AND ABILITIESOutstanding organizational skills, interpersonal skills, and excellent verbal and written communication skills are necessary. Refined project management skills, ability to work independently, and superb Microsoft Office skills (especially Excel and Outlook) are required.BWH is an Affirmative Action Employer.
