Job Title: Office Manager/Front Desk AdministratorReports to:

Practice Administrator/PhysicianSummary:We are seeking a highly organized and adaptable Office Manager/Front Desk Administrator to serve as the heart of our small, but busy pediatric practice. This role combines traditional front desk duties with office management responsibilities, ensuring the smooth operation of our office and providing excellent patient care.Key Responsibilities:Front Desk Administration:Greet and check-in patients, verify insurance information, and collect co-paysAnswer and direct incoming calls, schedule appointments, and manage patient inquiriesManage patient paperwork, including new patient registration, consent forms, and medical recordsProcess patient check-outs, schedule follow-up appointments, and provide discharge instructionsMaintain a clean and organized reception areaAssist with room cleaning and preparation between patients (as needed)Office Management:Open and close the office daily, ensuring security and readiness for operationsManage staff timekeeping, including clock-in/out procedures and time-off requestsHandle morning communications from staff, including late arrivals or absencesPrepare and send lab specimensMaintain office supplies and equipment inventoryAssist with coordinating staff schedules and coverageLiaise with vendors and service providersQualifications:High school diploma or equivalent required; some college or medical office experience preferredStrong customer service skills and a friendly, welcoming demeanorExcellent communication and interpersonal skills, both verbal and writtenAbility to multitask and prioritize effectively in a fast-paced environmentDetail-oriented with strong organizational skillsProficient in Microsoft Office Suite or similar softwareAbility to maintain confidentiality and adhere to HIPAA regulationsPrior experience in a medical office setting is a plusAdditional Notes:This position requires flexibility and adaptability, as responsibilities may shift based on office needs.A love for working with children and families is essential.The ideal candidate will be a proactive problem-solver with a positive attitude and a willingness to go the extra mile.We offer a competitive salary and benefits package, along with the opportunity to work in a rewarding environment where you can make a difference in the lives of children and their families.
