Position Summary

Reporting to the Associate Vice President, Strategic Advancement Operations, the Sr. Associate Director, Advancement Gift Administration provides strategic leadership and oversight of the daily operations of gift administration, including gift processing, gift accounting and gift compliance. The Sr. Associate Director is responsible for the intake and recording of philanthropic gifts, payments, and pledges to Morehouse College, and will ensure accurate and timely creation of funds and donation processing. S/he oversees the entire gift cycle to ensure that all funds raised reach their designated purpose at the College.

The Sr. Associate Director manages the Gift Accountant, providing leadership for processing of all donor gift types, fund reconciliation, development and execution of specialized reports and metrics, work processes and workflow and training of employees related work processes and procedures. The Sr. Associate Director is knowledgeable about the operations of fund administration, and able to identify trends and patterns, process and protocol, and other elements of asset management required for compliance and auditing matters. The Sr. Associate Director ensures that all donations follow IRS, CASE and Morehouse Accounting Guidelines, enabling accuracy of reporting.

Required Qualifications

Bachelor’s degree

Four+ years of relevant work experience in non-profit gift administration, finance, or similar experience

Through knowledge of gift administration, including gift processing, gift accounting and gift compliance.

Knowledge of IRS and CASE guidelines as it pertains to the processing and receipting of gifts.

Experience in effectively managing and leading direct reports and teams.

Preferred Qualifications

Master’s Degree

Experience working in a Higher Education environment.

Knowledge of Ascend or another fundraising CRM.

Experience with nonprofit and/or fundraising campaigns.

Essential Duties/Responsibilities

Manages full scope of gift processing to ensure that all pledges and gifts are accurately captured, entered, deposited, and designated. Accountable for ensuring that all gifts are accurately receipted within 24 hours.

Creates, manages, and reconciles new and existing funds in collaboration with the Office of Business and Finance. Manages new fund setup workflow, including preparing paperwork to initiate process and follow up. Manages pending funds and ensures fund designation aligns with donor intent. Ensures all gifts and pledges are designated to the fund the donor specifies in a timely manner.

Responsible for maintaining gift and pledge data in Ascend, the College’s central donor database. Works with the Office of Business and Finance to ensure that all gifts are properly recorded to the general ledger.

Manages pledge reminders for all active pledges, ensuring that all donors are notified annually of their pledge commitment. Partners with the Director of Advancement Technology and Systems to ensure that all pledge reminders are regularly going out from Givzey, the College’s pledge reminder tool, and on processes to export and load pledge reminder data in Ascend. Monitors and reports monthly on overdue commitments to leadership to ensure optimal collection revenue on a timely basis.

Leads matching gifts, including documenting matching gift program protocols and tracking fulfillment of matches. Partners with the Director of Advancement Technology and Systems to ensure that Advancement is fully utilizing the capabilities of Double the Donation, the College’s matching gift tool. Develops monthly reports on the status of all matching gift opportunities and claims.

Oversees the month end and annual reconciliation of gifts received, including partnering with the Sr. Associate Director of Reporting and Business Intelligence on gift related reporting to internal and external partners and legal and regulatory compliance.

Leads, mentors, and develops direct reports to ensure continuous learning and growth. Ensures direct reports are trained in their assigned job functions and as back-ups to other positions as appropriate. Serves as a back-up as needed.

Ensures that all donor and faculty pledge and gift inquiries are answered and responded to within an appropriate time frame (ideally within a 24-hour period). Serves as a resource and partner for colleagues within OIA, as well as with colleagues in other areas of the College.

Ensures all gift and pledge related policies and processes are documented and that such documentation is kept current. Works closely with external partners to ensure alignment in policies and processes, coordinate reporting, troubleshoot issues as appropriate and ensure accountability. Ensure regular review for process improvements, efficiency gains, and to better serve donors.

Provides expertise to the operations that support the various vehicles and methods for giving to Morehouse College.

Responsible to stay current and knowledgeable about changes and updates to guidelines and regulations that pertain to recording and managing philanthropic gifts. Stay abreast of current and emerging trends in IRS and Case regulations, philanthropy, and fundraising. Communicate with other industry professionals by means of membership and participation in national professional organizations, conferences, vendor training, and electronic mailing lists.

Participate in office and division staff meetings.

Adheres to ethical and confidentiality guidelines of OIA, CASE and APRA.

Perform other related duties as required or assigned.
