I. JOB OVERVIEW

Job Description Summary:

The Office of International Programs (OIP) plays a pivotal role in the university's efforts to engage the world from the nation's capital by providing guidance and resources that help identify GW's international priorities and expand educational opportunities abroad in all disciplines. OIP helps to bridge cultures, deepen understanding, and connect the university community to the world beyond our campus.

The Applications Administrator position manages an essential technology platform at the University that administers applications for study abroad, travel registration, and exchange agreements. The role exists to ensure that all applicable programs are integrated into the Terra Dotta for Study Abroad (GW Passport) platform and that departments and students have the necessary support for their programs and applications.

Duties and Responsibilities:

International Outgoing Platform ManagementServe as the lead business owner for the Terra Dotta for Study Abroad/GW Passport platform, including serving as the point of contact for Terra Dotta, internal stakeholders, and users (students, faculty, staff (including Study Abroad Advisors and Short-Term Abroad Program managers/administrators).Manage the transition to the Terra Dotta for Study Abroad Modern Applicant Experience (currently running the Classic applicant functionality).Build and maintain outgoing international programs in Terra Dotta.Create program brochures and communication and messaging materials for programs.Coordinate with internal offices and staff on program and application design in the Terra Dotta platform.Document department processes on program implementation and platform use.Act as a liaison between GW's IT / Banner Security offices to ensure appropriate compliance and smooth interface.Support other systems and administrative processes necessary to facilitate GW activities overseas.Course Approval Transfer Support

In collaboration with DIT and the Registrar's Office, supports the back-end maintenance and data entry functions of the Course Approval Transfer system (CATs), ensuring undergraduate students the predictable and seamless transfer of abroad credits to their GW transcripts.Trains and liaises with schools and departments to enter and maintain courses within the system.User Support

Provide training and advice on best practices for new and continuing users of Terra Dotta platforms to increase adoption and understanding of the platforms.Serve as a point of contact for internal stakeholders and troubleshooting and technical support related to Terra Dotta platforms.Monitor for system updates, product releases, software and functionality changes, and integrate changes into GW Passport, and in existing and new programs.Participate in training opportunities offered by Terra Dotta to expand knowledge and expertise.Data Collection, Reporting, and Analysis

Compile and analyze data for department's annual report, insurance reporting, and other institutional needs as requested. Reporting will be performed on both a regular cycle, in support of dashboard metrics, and ad hoc at the request of the staff of the International Offices to support specific targets or projects.Develop and distribute university-wide reports on university-sponsored international travel.Collate, clean and manage data sets in Terra Dotta systems.Communications, Training and Resources Development

Create communication materials and content for the Office of International Programs website.Support web design and updates within the Drupal system, as needed.Develop training materials and resources (web, print, video) on international systems for campus partners.Perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position and/or in support of departmental needs.

Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:

Preferred Qualifications:

Direct experience with TerraDotta software (preferably as a super user) and IT systems used at a higher education institution is preferred.Experience with database management, relational database concepts, SQL, and ColdFusion is desired.Excellent oral, written, and interpersonal skills to work effectively with faculty, staff, students, and outside vendors.Ability to learn and work independently in a collaborative environment, apply new technologies and business rules quickly, and clearly explain technical options and choices to a non-technical audience.A graduate degree in higher education, international education, project management, instructional design, or applicable/relevant fields is preferred.Experience working or studying abroad is desired.

Hiring Range$57,083.83 - $85,508.28
