The candidate shall provide administrative support to CISA Offices and Division executives. Work under this task includes:
· Conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
· Contractor shall provide internal guidance and coordination regarding administrative functions, management controls, metrics development, standard operating procedures, and general administrative compliance.
· The Contractor shall assist in facilitating coordination, response, and monitoring of all document request and correspondence for internal and external taskers using a SharePoint system.
· Coordinate and prepare travel arrangements, authorizations, and vouchers on behalf of staff through the CISA travel system.
· Writing and editing memos, developing spreadsheets, filing, copying documents.
· Preparing correspondence, briefs, and reports for review/approval by Government staff.
· Scheduling meetings, organizing and maintaining calendars for CISA staff
· Taking meeting minutes/notes and providing the same for government approval, distributing minutes/notes once approved.
· Ensuring compliance with current administrative policies and task requirements, executive secretariat guidelines, formats, and procedures; drafts responses to written request; corrects and completes clearance documentation; and utilizes acceptable style, tone, and timeliness.
· Reviewing/analyzing accuracy of grammar, spelling, punctuation, and clarity of writing for proposed tasker responses.
· Providing logistics support for on-site events such as coordinating teleconferences, video teleconferences, meeting registration, room reservations.
· Off-site meeting venue research, as needed.
· Plan and facilitate working sessions and other efforts to identify and coordinate actions to address exercise findings and lessons learned in after action reports.
· Organizing briefing materials and action items by preparing binders or folders for staff, leadership and/or client program offices.
· Manage records in accordance with the DHS Records Management Policy by reviewing, filing, scheduling and archiving documents.
