Job DescriptionThe Assistant Manager, Visual Merchandising Operations is a critical team member to support the ILIA visual merchandising team with a high level of operations and planning for a fast-growing team. The candidate will oversee facets of visual merchandising operations, such as retailer assortments, SKU planning, launch timelines, accounting, shipping, repair and maintenance, new door openings and field communications, all while integrating advanced project management skills for display updates for smaller retail accounts. This role is ideal for someone who thrives in an entrepreneurial environment at the intersection of sales, retail operations and visual merchandising.This role is

for candidates in Southern California and will report into the Executive Director of Visual Merchandising.VISUAL MERCHANDISING OPERATIONS (65%):

Create excel-based assortments for gondola fixtures and formatsMaintain timelines for merchandising update schedules for all retailersHelp to create documents, forms, presentation decks to support with business needsMaintain databases for door counts and merchandising inventoryCreate forecasts and orders for comps, testers, and productsShip and receive graphics and prototypes during the design development phaseOversee shipping and tracking of updates, communicating timing and risksServe as the VM contact for the ILIA field to share planogram informationOversee new door openings, repair and maintenance program and after-market care processConduct store visits to assess ILIA display quality and trends in the display industryMaintain a photo library of ILIA and competitive gondolas and displaysHelp to create brand-based merchandising guidelines and standardsCreate and implement new processes and programs to help gain operational excellenceMaintain an organized database of all merchandising documentsPROJECT MANAGEMENT (25%):

Create documents needed to kick off a project, such as creative briefs and planogramsAttend weekly vendor meetings. Start times will vary to accommodate time zones.Communicate and flow information in a timely and efficient manner to internal and external partners through meetings and email communicationsPro-actively assess potential risks to projects and communicate critical information to all team members. Offer solutions and workarounds as needed.Integrate and manage timelines between the fixture vendors, sales, marketing, and creative teams to plan the global seasonal updates timeline.Partner with sales and product marketing to ensure assortments are accurate for merchandisingPartner with creative operations to manage projects into Asana, including tasks and timelines. Follow up to ensure projects are executed on timeEnsure merchandising documents are organized and updated on serverAct as the point-person for display/graphic vendors, regional and field partners. Lead regular status meetings and ensure timely and effective communication for projects.ACCOUNTING (10%):

Conduct weekly reviews of incoming quotes and outgoing purchase ordersWork with finance to ensure costs are coded to the correct budget codesCreate excel-based pricing guides to estimate budget needs for each seasonMaintain budget spreadsheets and track all departmental spendingGenerate spending reports and flag overagesJob requirements

3+ years of visual merchandising operations or retail project management experience, preferably with a beauty or retail brandDemonstrated ability to manage multiple projects simultaneously, while meeting deadlines and maintaining high-quality standardsExceptional organizational, communication, and problem-solving skills.Proficiency in Excel (e.g. Vlookup, Pivot Tables, large data sets)What We Would Like To Offer...
