Job TitleBrokerage CoordinatorJob Description SummaryWe are seeking a Brokerage Coordinator to support a market leading team of Brokers at a top global real estate services firm. The role consists of execution of work related to commercial real estate transactions and client deliverables. This individual must be a collaborative team player with a can-do mindset and will participate in regular business and team meetings. It is a multifaceted role requiring strong organizational skills, plus the ability to take some initiative and multi-task in a fast-paced environment. The Brokerage Coordinator will be trained and become highly proficient with the internal systems including team’s database, as well as Workday, Salesforce, Microsoft and Adobe applications. This position offers the opportunity to gain knowledge and experience in commercial real estate plus growth potential within a well-established Brokerage team in Downtown Los Angeles.Job DescriptionResponsibilities:Execute All Administrative FunctionsPrepare AIR Forms - Purchase and Sale Agreements, Leases Agreements, Tenant Estoppels and Disclosures (Property Information Sheets and Seller’s Mandatory Disclosure)Draft Listing Agreements – Cushman & Wakefield and AIR Forms. Coordinate with Legal Department and Management to Finalize for Execution.Prepare Letter of Intents, Proposals to Lease or Purchase, Counter Responses and other Transaction Related CorrespondencesManage Team/Broker CalendarsSchedule Weekly Team MeetingsSet and Confirm Client Meetings and Conference CallsSchedule and Coordinate Broker Events (Open House)Coordinate All Marketing EffortsCreate, Enter and Maintain Listings in External Listing Multiple Services (AIR, LoopNet, and CoStar)Maintain and account for our subscription with LoopNet and our team’s listings posted withinCoordinate with Vendors (Aerial/Drone Photograph, Contractors, Consultants, Commercial Printers/Mailers and Copying of Plans)Maintain our Team’s Internal Active List of Property Listings and PursuitsPrepare Weekly Marketing Updates and Activity Reports for ClientsRespond and Track Inquiries on All of the Team’s ListingsPrepare Property Surveys, Tour Books, Property Flyers/Brochure and other Marketing Materials as neededResearch Availabilities and Comps in Listing Multiple Service and Internal Cushman & Wakefield DatabasePrepare and process Vouchers for Closed Transactions, Marketing Budgets and Broker ExpensesMaintain Team’s Internal DatabaseManage the subscription and function of the Internal DatabaseInput and update contacts information in Internal DatabaseCreate targeted mailers from Internal DatabaseParticipate in Business DevelopmentAttend Strategy Sessions with Team and OthersResearch Property Owners and Companies for Contact Information (Names, Phone #s and Email Addresses)Prepared Targeted Follow-up and Solicitations for New ClientsMonitor and populate Cushman & Wakefield Client ListOrganize all agreements, property information and due diligence materials for each pursuitSupport Timeliness of All the Team’s DeliverablesOversee Team Promotional Efforts and Client OutreachTargeted MailersPostcardsClient GiftsHoliday CardsRequirements:Bachelor’s degree or equivalent2+ Years’ experience in marketing or related fieldOr similar combination of education and experienceExcellent oral and written communication skillsProficiency with Microsoft Office SuiteProficiency with Adobe Creative SuiteDetail oriented, self-starter, well organized, able to set priorities and handle multiple projects at any given time, and comfortable working in a fast-paced environment independentlyDemonstrated strong interpersonal skillsHistory of excellent internal and external customer serviceWilling to obtain their California Dept. of Real Estate (DRE) license within the first six months of employmentPhysical Requirements:Involves work of a general office nature; typically includes extended periods of sitting and/or operation of a computer for 8 hours a dayMay involve periods of standing, such as operating at machines including copiers, scanners, binding, cutting, and foldingSome overtime may be requiredRegularly required to lift supply boxes; some could weigh up to 30 poundsExtensive walking throughout the officeRegularly required to talk, hear, and use hands and fingers to write and typeAbility to speak clearly so others can understand youAbility to read and understand information and ideas presented orally and in writingAbility to communicate information and ideas in writing and orally so others will understandRegularly required to utilize vision abilities, allowing reading of printed material, graphics, and computer displays
