Job Summary: The Office Manager will oversee the daily administrative operations of the whole office. The role requires strong organizational skills, a proactive attitude, and the ability to multitask in a fast-paced environment. You will ensure smooth office operations, support company growth, and enhance customer service by facilitating communication between departments, managing office resources, and maintaining accurate records.

Supervisory Responsibilities:

Oversees the daily work activities of the office.

Handles or assists with discipline of employees in accordance with company policy.

Oversees the daily work activities of the Art, Customer Success, Production and Sales divisions.

Fosters a positive work environment, promotes teamwork, and exemplifies the company’s core values.

Recognize and award employees for outstanding certificates of achievement.

Oversees employee performance reviews as needed.

Duties/Responsibilities:

Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.

Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.

Oversees petty cash funds.

Maintains inventory of office supplies; orders new supplies as needed.

Maintains office files; implements an efficient system for other staff to access files and records.

Work closely with the design, sales, and production teams to coordinate client orders and schedules.

Handle customer complaints and resolve issues promptly and professionally.

Manage calendars and schedule meetings for C-Suite and project teams.

Prepare and proofread documents, reports, and presentations.

Implement and maintain office policies and procedures.

Partners with HR and assists with onboarding and training new employees.

Organize team meetings, training sessions, and employee engagement activities.

Monitor daily employee time cards and handle requests for time off. All management requests will need to be approved by the COO.

Partner’s with the General Manager.

Performs other related duties as assigned.

Required Skills/Abilities:

Extensive knowledge of office management procedures.

Excellent verbal and written communication skills.

Excellent interpersonal and customer service skills.

Excellent organizational skills and attention to detail.

Excellent time management skills with a proven ability to meet deadlines.

Proficient with Microsoft Office Suite or related software.

Proficient with Google Suite Programs (sheets, drive, etc).

Education and Experience:

High school diploma or equivalent required; Associate’s degree in office administration or related field preferred.

3-5 years of office management experience required. Within a service-oriented industry like vehicle wrapping, printing, or similar is preferred.

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times
