The Director of Donor Events and Experiences (DEE) manages the development, planning, implementation and assessment of new and existing events, programs and strategies designed to engage University of Arizona donors, prospective donors, alumni, employees, community members and other constituents.

Reporting to the Assistant Vice President, Board and Donor Relations, the Director executes operational oversight for the Donor Events and Experiences team and works in collaboration with Philanthropy and Alumni Engagement (PAE) department colleagues, campus and community partners, volunteers and University and Foundation leadership. The Director actively contributes to strategic planning efforts and goal setting and achievement in support of institutional fundraising and engagement goals.

Supervisory Responsibility

The Director manages the Donor Events and Experiences team with additional support from student employees. Management responsibilities include but are not limited to scheduling, event assignments, providing regular feedback, appropriate training, professional development and performance management. With support from Assistant Vice President and HRO, the Director supports employee workplace culture, team recruitment and staff career progression recommendations.

Duties and Responsibilities

Develop annual plans and goals for the DEE team in consultation with the Assistant Vice President and PAE stakeholders in accordance with department, University and Foundation objectives and utilizing best practices for constituent engagement, stewardship, donor relations and event planning.

Provide strategic leadership to the DEE team in the development, planning, budgeting, implementation and assessment of a diverse suite of annual, new and reimagined events held in person and online, on and off university campuses

Manage a personal portfolio of annual, new and reimagined events, programs and experiences.

Contribute to donor and prospect strategy discussions and recommend tactics related to events and experiences including and not limited to utilizing donor hosts, venues, interactive opportunities, connections to leadership, marketing and communications strategies and giving society recognition.

Build, cultivate and strengthen productive working relationships with university departments and both internal and external vendors for event production services, including and not limited to Facilities Management, Arizona Catering & Events and Public Safety

Direct and develop a high-performing team to include performance management, professional development, and mentorship

Collaborate with colleagues in Marketing and Communications and other PAE teams on multi-channel strategies to effectively target and engage audiences in DEE events and programs

Deliver regular and accurate reports to colleagues and partners on event performance, registrations, budget and KPI

Recommend and implement strategies for the regular tracking and assessment of DEE programming, KPI, ROI and goal achievement utilizing industry best practices in collaboration with the Assistant Vice President and PAE colleagues

Evaluate DEE internal processes and recommend and implement strategies to increase operational efficiency and performance

Ensure that PAE event-related data is accurately and promptly recorded following PAE data management policies and procedures

Ensure donor events and experiences dates are routinely updated to team, divisional and cross functional team calendars

Provide on-site staff support at PAE and University events and meetings, participate on, Foundation and University committees as assigned

Develop and facilitate support and resources for unit-based colleagues executing donor events. This may include partnership with the PAE training and internal communications teams to develop training modules and communications for effective onboarding, training and professional development of staff toward the goal of consistent, high-quality engagement of all university donors.

Contribute to the overall success of the Philanthropy and Alumni Engagement department, Foundation, and University by performing all other related job duties and responsibilities as assigned

Maintain professional connections and interactions with event planning colleagues through CASE and other event planning professional associations

Participate in long-term and short-term planning for the department.

The Director may make financial/budget decisions while performing the duties outlined above

Knowledge, Skills, and Abilities

Experience in event development, planning, management and assessment with a successful track record meeting and exceeding key performance indicators, preferably in a nonprofit, fundraising or higher education environment

Demonstrated ability to develop, execute and lead event strategies designed to reach stakeholders and convey organizational priorities, themes and messages with an attention to best practices in diversity, inclusion, equity, and access

Experience managing projects within defined budget parameters and familiarity with cost-efficient strategies for event production

Desire to work independently with minimum supervision as well as collaboratively and cohesively as a member of a team

Capacity to synthesize large amounts of information and make recommendations, track down information from a variety of sources, evaluate challenges and opportunities, and display sound, ethical and confidential decision making

Openness to new ideas and personal flexibility with the ability to adapt and succeed in a multi-task, fast-paced environment with changing processes and occasional ambiguity

Proven experience motivating, engaging and collaborating with a variety of people and roles, including colleagues and both internal and external constituencies with diverse points of views and experiences

Relationship driven with the ability to engage and interact with colleagues, alumni, donors, students, and other constituents consistent with the University of Arizona’s Purpose, Mission and Values

Creativity, initiative and a “can-do” work ethic

Excellent written, verbal and interpersonal skills executed with tact, diplomacy and professionalism always

Strong management, administrative, organizational and customer service skills with an attention to detail and a proven ability to lead

Proficiency in Microsoft Office, experience with project management software/systems and the ability to learn new software programs

Must be able to work evenings and weekends on a frequent basis and travel as required for events and meetings, in addition to regular business hours

Minimum Qualifications

Bachelor’s degree or equivalent professional experience in event planning and management in a nonprofit, fundraising or higher education environment AND

Minimum of 5 years related experience and at least 2 years of managerial experience

Preferred Qualifications

Experience using Blackbaud CRM.

Familiar with the University of Arizona campus.
