The Assistant to the Executive Vice President and CFO is responsible for providing direct administrative support to the Executive Vice President and assisting in various activities within the Finance and Administration Division. This position is responsible for supporting the Executive Vice President and CFO with the primary objective of assisting the EVP in his/her daily work to make certain that identified priorities are addressed in a timely fashion and helping to ensure that the use of the EVP’s time is focused on critical, strategic issues.
Essential Duties Summary
Provide direct administrative support to Executive Vice President including but not limited to: maintaining the Executive VP’s calendar and schedule, organizing travel plans, opening, sorting and prioritizing incoming mail, filing, answering the phone, generating letters/memos and preparing correspondence
Prepare and distribute agenda and other materials including taking minutes for meetings called by or staffed by the Executive VP (e.g., Trustee meetings, Budget Advisory Committee).
Support Executive VP with special projects (e.g., gathering background information, researching issues, preparing executive summaries, reports, and other materials, coordinating with other departments to secure materials requested).
Support Executive VP with budget requests, allocations, and documentation
Coordinate the submissions of data and/or materials/collections to ensure compliance and documentation related to federal, state, and regional regulatory reporting requirements, including various compliance reporting (working with the CFO).
Assist in the coordination of the annual A-133, 403(b) and financial audit.
Coordinate scheduling of outside vendor work to ensure efficient use of resources (e.g., phone and data lines).
Handle confidential matters for the Executive VP, as requested, including interactions with departments within the Finance and Administration division and throughout the College.
Required Qualifications
Education/Licensure
Bachelor’s degree in Business Administration, Writing, or other related field required.
Experience
3-5 years experience with relevant clerical and administrative experience in an administrative assistant role.
Experience in administrative and personnel management, strategic data management, project planning and management, and budget planning and management
Skills and Knowledge
Ability to handle multiple priorities, meets strict deadlines, and achieves defined goals.
Strong written and verbal communication and organizational skills, attention to detail, and the ability to anticipate needs.
Highly professional demeanor and respect for confidentiality are also required.
High level of proficiency with Microsoft Office, especially Word, Excel, Outlook, and PowerPoint, is required.
Familiarity with Banner database or similar database program is desired.
