Associate Director, Medical & Scientific Communications(Agency Equivalent = VP, Client Services)The Associate Director is responsible for managing client relationships, delivering projects in alignment with operational excellence standards, and leading the account team. The AD is accountable for the assigned clients in terms of growing and nurturing relationships and ensuring all deliverables meet or exceed client expectations. The AD is also responsible for the day-to-day success of their team and continued growth and development of individual team members.ESSENTIAL DUTIES & RESPONSIBILITIESClient Relations and Brand ManagementEstablish meaningful, professional relationships with client stakeholders, including understanding their individual roles, communication preferences, personal motivators, and desired outcomes for the brand, their projects, and our team.Ensure Simpson’s brand is properly represented and promoted throughout client interactions, communications, and deliverables.Partner with client stakeholders to develop strategies to attain desired outcomes.Be a trusted partner that clients see as providing added value to ensure long, continuous relationships.Collaborate with SVP in identifying opportunities to provide additional services that will assist clients in attaining desired outcomes.Attend and ensure success and a positive experience for all key client meetings, including weekly client status calls, brand planning meetings, workshops, advisory boards, speaker trainings, and congresses.Project ManagementManage all projects for assigned clients ensuring that deliverables meet operational excellence standards (on budget, on time, error-free, on strategy, and within all relevant policies and guidelines).Ensure project team members communicate effectively with other Simpson internal teams and third-party vendors regarding expectations, timelines, quality, and budgets.Monitor project progress and identify client requests for changes in deliverables, timing, and/or project goals.Communicate all scope changes to project team members, Marketing, and Finance through internal processes.Work with SVP in preparing, updating, and/or reviewing monthly phasing reports for all assigned clients to ensure accuracy of amounts invoiced to clients.Adhere to all standard operating procedures (SOPs) and drive internal project team adherence to all relevant processes.Maintain working knowledge of managed products, disease areas, and brand and company strategy and goals.Collaborate with SVP and Marketing in preparing and delivering client pitches, presentations, and metrics ensuring quality, accuracy, and timeliness.Ensure full delivery and management of all scoped work and/or identify any projects at risk/canceled and work with Marketing and SVP to propose new solutions.Internal Team ManagementLead by example and enforce staff adherence to SOPs.Ensure all staff members prepare timesheets weekly and understand the importance of reporting all time worked.Supervise and train staff members, ensuring understanding of responsibilities and duties.Align with SVP on staff growth and development, including opportunities to assume new responsibilities.Create a positive work environment, fostering a team approach and encouraging open communication.Conduct weekly one-on-one meetings with all direct reports.Partner with SVP in preparation of annual performance reviews and discussions with direct reports.Assign projects to staff in accordance with their experience and growth opportunities.Identify needed modifications and/or new systems to enable team effectiveness.Liaise with SVP, other departments, and cross-functional team members to deliver projects as needed.OTHER DUTIES & RESPONSIBILITIESApprove staff timesheets.Manage and attend relevant internal meetings, as assigned.Other duties as assigned.KNOWLEDGE, SKILLS, AND ABILITIES NEEDED TO PERFORM THIS ROLEMinimum 8-12 years’ experience in medical communications, healthcare marketing, or scientific agency.Bachelor’s degree required, preferably with emphasis in Marketing, Business, or Science.Strong communicator in both written and verbal forms with proven ability to establish and nurture relationships.Previous experience with people management is preferred.Strong attention to detail and ability to manage multiple priorities.Efficient and skilled at using Microsoft Office and project management systems.Extensive skills with web-conferencing tools.Ability to travel to meet with stakeholders as necessary (up to 25% of time).
