The newly established UC Irvine Wen School of Population & Public Health is dedicated to the achievement of health equity for all populations through teaching, research, service and public health practice locally and globally. Championing the principles of evidence-based public health science, the program aspires to understand and impact population level social, biological and environmental determinants of health and well-being. Your Role on the Team

The Department of Epidemiology & Biostatistics is seeking a highly professional, experienced, and proactive Department Administrator to work closely with a new Department Chair to support department faculty and students.

Reporting directly to the Chair, with reporting responsibilities to the Sr. Assistant Dean, the incumbent will work under general direction with a high-level autonomy and authority. The incumbent will make recommendations and implement decisions on operational issues affecting the unit. The Administrator is primarily responsible for the administrative and business functions in support of the Department. Responsibilities include management, leadership and oversight of departmental budget, administrative, personnel, contract management, information systems, space and facilities, academic personnel. The successful incumbent will effectively bring proactive and a team player to collaborate with other departments and units to generate best practices, and strategic initiatives.

Independently develops and maintains budget and ensures regulatory compliance, budgeting, monitoring, stewardship, and safeguarding the assets and department resources.Prepare in-depth analysis of income and expenditure data to ensure a budget that adequately supports the department's academic programs. Identify additional funding needs for the Chair. Develop plan, propose plans and recommendations to Chair and Sr. Assistant Dean, and implement plans to correct any imbalances. Partner with Sr. Assistant Dean to establish operating policies and procedures to ensure that expenditures of departmental funds meet the need of the Department and are allowable within university policies.

Oversees and collaborates with contracts and grant staff on acquisitions, including equipment, consultant services, subcontracts, travel, controlled substances, and other non-payroll expenses. Ensures conformance to agency policies, Cost Accounting Standards, audit reporting, and effort reporting.

Ensures integrity of all transactions and financial reports. Partners with Sr. Assistant Dean and Director of Finance, to confirm that all Departmental internal accounting systems facilitate the analysis of income and expenditures and the forecasting requirements of individual programs.Oversee, manage and coordinate the day-to-day administration and operations of the department. Evaluate administrative procedures; take actions to improve efficiency as needed. Evaluate requests for use of departmental funds and make decisions or recommendations as appropriate.

Utilizes knowledge of principles, practices, and concepts in related files to apply sound judgment and innovative decision-making concerning the planning, development, and implementation of new policies, procedures, and situational solutions. Identifies relevant concerns, factors and patterns to formulate logical and objective conclusions.

What It Takes to be Successful

Required:Solid knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management and / or personnel management within labor contract(s) and personnel policy.Solid knowledge of common organization-specific and other computer application programs.Solid interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling to effectively motivate others.Solid skills to quickly evaluate complex issues and identify resolutions.Solid knowledge of financial analysis and reporting techniques; human resources and risk management planning; accounting and payroll.Bachelor's degree in related area and / or equivalent experience / training7-10 years in positions increasing responsibility and supervision.Preferred:
