Practice Assistant – (San Francisco)

Salary Range:

$32.00/hour ($62,400.00 annually)

The salary range is the one that Munger, Tolles & Olson LLP reasonably expects to pay for this position. Job Functions & Responsibilities

Administrative Specialist Support:

Provide software related instruction and guidance on various processes employed by AST team as needed.

Administrative Assistance:

Organize attorney work materials, process expense reports, coordinate payment of invoices, handle documents, manage large document projects, handle shipping and couriers, proofread documents, transcribe materials, and maintain desk procedures.

Communications Support:

Monitor attorney availability, manage calendars, prepare for meetings, answer phones, manage contacts, manage email, manage mail, and draft correspondence.

Client Support:

Complete new matter intake, manage conflicts of interest, close matters, field client inquiries, respond to audit letters, and support business development.

File Management:

Manage electronic and hardcopy files, and maintain records retention.

Time Entry and Billing:

Complete time entry, reconcile time entries, review and finalize time, review and edit bills, prepare and deliver final bills, and resolve client billing issues.

Travel Management Support:

Manage reservations, prepare for trips, and notify of changes.

General:

Maintain confidentiality, participate in projects, and complete other duties as assigned.

Litigation Assistance:

Redline documents, prepare informational binders, manage pleading and discovery clips, coordinate outside services, and assist with trial needs.

Transactional Assistance:

Redline documents, research public documents, prepare client documents, maintain data room, assist in closing activities, and create presentations.

Minimum Job Qualifications

Bachelor's degree with interest in pursuing law school or graduate school preferred.

Prior Administrative Specialist or assistant experience in legal field required.

Strong analytical and problem-solving skills with attention to detail.

Ability to organize and prioritize multiple assignments, using judgment and initiative to accomplish results.

Strong communication, interpersonal skills, teamwork, attention to detail and customer service skills.

Ability to interact effectively and professionally with all levels of management, staff and a variety of external entities.

Excellent computer skills. Working knowledge of time tracking/billing applications preferred.

Evolving knowledge of support processes, procedures and technologies required by the legal/administrative support profession.

Available 37.5 hours a week, with occasional opportunity for overtime.

Ability to quickly respond to constantly changing instructions and prioritize accordingly.

Ability to manage workload and proactively identify required tasks.

Physical Demands

Writing, typing, reading, speaking, hearing, seeing, sitting, bending, reaching, lifting up to 25 lbs.

Working Conditions

Quiet office environment in a high-rise building, seated the majority of the time.
