The Executive Assistant is responsible for supporting three executives: the Vice President Planning, Procurement, and Business Systems, the Vice President Global Fulfillment & Distribution, and the Vice President Contract Manufacturing, Service, and Pilot Operations. The position requires strong verbal and written communication skills, technical skills, ability to multi-task, attention to detail, ability to work with confidential information, and the initiative to work in a dynamic, fast-paced global environment.

This position is part of the manufacturing operations department and will be located onsite in Sunnyvale, California. At Cepheid, our vision is to be the leading provider of seamlessly connected diagnostic solutions.

In this role, you will have the opportunity to:

Coordinate complex scheduling and extensive calendar management for the executives

Program management for event coordination; organization, planning, and execution including agenda development, invitations, and hospitalities; pulls in required resources to achieve objectives

Coordinate local and offsite organizational wide meetings with other executive assistants across the globe

Generate executive level presentations and communication to include functional announcements, newsletters, reports, memos, and emails (financial/expense, headcount, slide deck updates), meetings minutes, and action item follow-up

Manage all travel which includes close coordination with various groups locally and internationally, visa preparation, organization of ground transportation, hotel reservations, conference registration, dinner engagements, etc. This will also require the flexibility and agility to deal with unexpected travel updates if/when schedules change both before and during trips.

The essential requirements of the job include:

Degree in Business Administration and/or 5 years of experience working in a professional services environment

5+ years of experience in an operational executive assistant or administrative role

Strong proficiency with Microsoft Office including Outlook, Word, PowerPoint and Excel

Excellent attention to detail and commitment to excellence to perform duties at the highest level possible on a consistent basis

Must have the ability to prioritize and apply sound judgment and the ability to juggle multiple priorities simultaneously

Travel, Motor Vehicle Record & Physical/Environment Requirements:

Ability to travel –The hourly range for this role is $48.00 - $54.00. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range. This range may be modified in the future.

This job is also eligible for bonus/incentive pay.

It would be a plus if you also possess previous experience in:

Experience working in manufacturing operations

Work experience in an ISO and/or FDA regulated industry

Experience analyzing and revising operating practices to improve efficiency
