We are currently seeking an experienced Office Assistant for our office located in Stuart, Florida. The ideal candidate will have excellent computer skills and the ability to work in a fast paced and team-oriented environment.

Responsibilities:Assist attorneys and staff with general office and administrative tasks.Serve as a concierge by setting up and cleaning up conference rooms, lounges, and other meeting areas, as well as preparing for luncheons (e.g., ice water, utensils, soft drinks, coffee).Support special projects and deadlines for various departments as needed.Help the Office Manager with general office-related tasks.Perform any additional duties required for the role.Office Services Clerk Responsibilities:

Oversee daily mailroom activities, including receiving vendor deliveries and forwarding receipts to Operations.Ensure timely delivery of faxes, copy jobs, packages, and supplies.Maintain cleanliness and organization of the Office Services/Copy Room area.Manage office supplies and kitchen inventory, coordinating with WPB Office Services.Handle incoming mail, including daily checks of the on-site postal mailbox, and distribute mail to staff.Take outgoing mail, including FedEx and UPS items, to the post office.Assist employees with Office Services procedures.Restock staff printer stations weekly.Assemble and pack boxes for Iron Mountain pickup.Perform any additional duties required for the role.CA File Clerk Responsibilities:

File document binders and pressboards for CA attorneys daily.Scan and bookmark Association documents, tab them appropriately, and cross-reference Certificates of Amendments.Maintain and organize CA files and filing cabinets, including removing non-renewal files.Handle the closing of CA files according to standard procedures.Perform any additional duties required for the role.CA Department Assistant Responsibilities:

Prepare forms for adding/removing the Firm as Registered Agent.Conduct annual corporate searches for clients to check Annual Corporate Report filings and notify clients if not filed.Follow Client Non-Renewal procedures in coordination with the legal assistant.Assist with the physical opening of new files (document binders).Provide support to the Legal Assistant with word processing, including document corrections and finalizing correspondence.Assist with file closures.Enter CA Attorney time in Matter Expert and serve as backup when needed.Perform any additional duties required for the role.LIT File Clerk Responsibilities:

Assist with file closing, including preparation for scanning or Iron Mountain.Perform any additional duties required for the role.Required Skills/Abilities:

Excellent verbal and written communication skills.Strong interpersonal and customer service skills.Excellent organizational skills and attention to detail.Proven time management skills with the ability to meet deadlines.Ability to organize files and manage workflow effectively.Proficiency in Microsoft Office Suite or related software. Familiarity with iManage/Filesite and Aderant is preferred.Education and Experience:

High School Diploma preferred or three years of legal or office-related experience.
