This role provides comprehensive administrative support to senior executives, including Senior VPs, VPs, Executive Directors, and Directors. The position involves managing complex schedules, organizing meetings and events, and handling sensitive communications. Responsibilities include preparing high-quality presentations, reports, and correspondence, while maintaining confidentiality. The Executive Administrative Assistant will also manage budgets, process expense reports, and ensure compliance with company policies.The role requires a proactive approach to problem-solving, strong organizational skills, and the ability to independently manage projects. This individual will serve as the main liaison for internal and external stakeholders, oversee logistics for large meetings, and coordinate international and domestic travel arrangements. Advanced proficiency in Microsoft Office, excellent communication abilities, and a strong attention to detail are essential for success in this position.Duties include -Provides day to day administrative support to executive(s), line, and staff managers. (Sr. VP, VP, Exec Dir, Dir). Duties are highly diverse administrative tasks and activities.

Provides work direction to her/his support staff within the department/function.

Organizes multiple processes, procedures, or programs; acts as a lead on clerical teams; trains other administrative staff.

Provides analytical and specialized administrative support to relieve and assist executive, administrative, line and staff managers of complex details and advanced administrative duties. This includes the coordination, tracking and management of annual budget.

Screens and responds to incoming calls, email, and other highly sensitive communication. Establishes purpose of communication and what must be elevated or effectively redirected.

Prepares a variety of high-quality correspondence, complex presentations, and reports, written agreements, memos, letters, and other documents. Outstanding presentation and typing skills required. Able to take minutes effectively in person during staff or other meetings. Effectively maintains confidentiality of critical documents. Keeps records of contracts for suppliers.

Contacts company employees at all organizational levels to gather information and prepare reports s expected to effectively manage complex assignments and projects where independent action, within guidelines, and a high degree of initiative are required in resolving problems and developing recommendations.

May handle special projects and execute research and data analysis tasks. Able to proactively assess upcoming schedules and needs to plan, preparation and pre-meeting actions.

Serve as primary administrative liaison and point of reference for, executive staff, other internal contacts to the senior executive, consultants, and other external contacts.

Oversees and arranges all logistical and hospitality aspects of internal department meetings, including preparing agendas and minutes as well as making necessary business travel arrangements, preparing agendas, compiling, and distributing materials, and recording meeting minutes.

Leads organization of large 40+ person meetings at least annually, including overseeing preparation of options and pricing for location(s), menu(s), logistic(s), and team building items

Manages, plans, and organizes executive's daily calendar. Can make solid judgement on priorities and effectively informs, elevates decisions, and asks appropriately for guidance as needed. Makes travel arrangements in the form of scheduling and coordinating international and domestic travel logistics including the proactive application for visas or other travel documents as needed; processes expenses in a timely and effective manner, ensuring up-to-date expense accounting and reports.

Prepares, edits, and distributes itineraries, letters, memos, and meeting minutes; keeps track of RSVPs for events and meetings.

Manages and maintains filing system, ensuring compliance with Records Retention policies and protocols.

Research and compiles data may analyze data and complete special research projects.

Serve as primary administrative liaison and point of reference for, staff, other internal contacts, consultants, and other external contacts. Acting as a liaison and point of reference for cross-functional teams.

Acts independently to determine methods and procedures on new assignments; provides guidance and oversees the activities of other support personnel as required.

Qualifications (Minimum Required):High school diploma or equivalent.

Experience (Minimum Required):Minimum of 3-5 Years of executive administrative assistant or related experience

Advanced proficiency in Microsoft Office Suite of Products (Word, Excel, PowerPoint, Outlook) and Internet. As well as the ability to use various applications, including running.

Reports, spreadsheets, email, and the internet

Solid prioritization, organization, and time management abilities. Strong attention to detail

Utilizes critical thinking skills to independently analyze problems, determines approach

Identifies potential solutions, and utilizes experience and judgment for issue resolution, within guidelines.

Excellent oral/written communication with team members, external clients, and management (phone, fax, letter, e-mail)

Understands internal and external customers' requirements and expectations and provides consistently outstanding customer service.

Preferred Qualifications Include:

University degree, professional certification or equivalent experience working with executive level, within or outside the company.

Written and spoken English language.
